The Law Department is comprised of three divisions: the City Attorney's Office, which handles representing the City in civil matters, the City Prosecutor's Office, which handles the prosecution of misdemeanor crimes committed in Phoenix, and Management Services.

The City Attorney's Office is seeking a Legal Secretary*U8 to join and support four Attorneys in the City Services and Community Development section. This role works directly with attorneys for assignments, and reports to a Lead Legal Secretary.

Responsibilities include:

  • Mange docketing systems and attorney calendars for court dates, deadlines, and hearings in case management system (ProLaw).
  • Provide attorney support to include managing calendars, scanning and docketing court documents and correspondence, and providing mail to attorneys for review daily.
  • Reviewing documents for completeness, and typographical/formatting errors.
  • Preparing and filing legal documents using various e-filing systems in compliance with court rules and attorney instructions.
  • Preparing and/or drafting ordinances, letters, memoranda, agendas, reports, and general correspondence.
  • Processing Forcible Detainers and Judgment Renewals.
  • Maintaining case files; open, close and create files in case management system (ProLaw).
  • Ensure all section records are maintained in compliance with city retention and archiving policies.
  • Preparing and sending closed files to City Records and complete forms at a minimum once per year, in compliance with department procedures.
  • Managing and monitoring multiple electronic mailboxes.
  • Prepare comprehensive travel packets that include conducting research of flights, hotel, ground transportation, parking estimates, etc.
  • Prepare MDA and PDC forms for attorney reimbursement.
  • Complete and/or assist with special projects as assigned.

SALARY


Pay Range: $23.74 - $35.08 per hour

Hiring Range: $23.74 - $31.82 per hour

  • Pay range is the entire compensation range for the position classification.
  • Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

Internal Only: Please understand that this is pay grade 743. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

  • Promotions occur when the last two digits of the pay grade increase.
  • Demotions occur when the last two digits of the pay grade decrease.
  • Lateral transfers occur when there is no change to the last two digits of the pay grade.
  • When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

  • Two years of clerical experience in a legal setting, including training in typing and stenography.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.
  • All finalists for positions are subject to a criminal background check applicable to the department or position.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS


The minimum qualifications listed above, plus:

  • Experience with Rules of Court, Evidence and Discover, Federal Privacy Act, Freedom of Information Act, and City Ordinances.
  • Planning and organizing workload to comply with established time constraints.
  • Legal secretary experience working with minimal supervision.
  • Experience with legal terminology, principles, precedents, procedures, and research methods.
  • Docketing experience using a program and manually docketing dates, along with maintaining electronic and hard copy files.
  • Experience filing documents and briefs in Superior, District, respective appellate courts, Office of Administrative Hearings, and other venues.
  • Front desk customer service experience
