ASB Manager – Where Student Leadership Is Supported with Care and Clarity

At Lakeside High School, student activities are more than events on a calendar. They are moments where students learn responsibility, practice leadership, and see their ideas take shape. The ASB Manager plays a steady role behind the scenes, making sure the financial side of those experiences is handled with care and accuracy. When accounts are clear and processes are sound, students can focus on leading, advisors can focus on mentoring, and the school can trust that everything is in order.

This work matters because it protects student voice. It asks for someone who values doing things the right way, who understands that careful accounting builds confidence across a building. You will work alongside student leaders, staff, coaches, and advisors, offering guidance and clarity so that activities run smoothly and decisions are supported by solid information. It is detailed work, but it is also relational. People rely on you. And when they do, they know they are supported by someone who takes shared responsibility for the place we all care about.

Salary: The Hourly Rate range for the position is: Min.$26.02 - $33.95 Salary placement will be at Step 1 of the Nine Mile Classified Public Employees Association Collective Bargaining Agreement, unless documentation of experience is received per the Collective Bargaining Agreement. Benefits: Each employee shall accumulate up to twelve (12) days of sick leave per year. An employee employed less than a full work year shall be entitled to a proportionate part of the sick leave allowance. (Example: An employee working 10 months will receive 10 days of sick leave.) A maximum of three (3) Annual Leave days are provided for all employees based on the employee’s scheduled employment hours per day to be used for an absence during work hours, or to be accumulated for the purpose of cash out.

Employees anticipated to work more than 630 hours per year will be eligible for Benefits through the School Employees Benefits Board (SEBB) Standard benefits include Medical, Dental, Vision, Life Insurance, and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the State Department of Retirement Services.

Schedule: 189 contract days, 8 hours per day 7:00 AM – 3:30 PM
Additional Summer hours are required and will be determined mutually between the district and the successful candidate.

Nature and Scope of Job: (1-2 sentence summary of position):
To ensure prompt and accurate processing of the District ASB accounting while supporting LHS with building-related tasks.

Primary Job Functions

  • Process Purchase Orders, ensuring that the expenditures are qualified ASB expenses and that they have been approved by the student body and the appropriate coach or advisor.
  • Process all ASB Accounts Payable, verifying that the purchase was authorized via purchase order and that the merchandise was received (packing slip) or that the service was provided. In addition, review invoices for sales tax. Apply compensating tax to the invoice as applicable.
  • Maintain vendor files by submitting and processing W-9s and accurately entering vendor information in Skyward.
  • Assist the Business Office with the yearly preparation of 1099s.
  • Receive and receipt all ASB and District monies received at Lakeside High School. This requires knowledge of the account code structure. The proper club or general ledger account code must be referenced to maintain accurate accounting records.
  • Advise and train teachers and coaches on how to properly document fundraisers. This requires adherence to ASB rules and regulations. Review fundraisers looking for proper authorization, reconciliation, and cash handling procedures.
  • Prepare and maintain documentation for donations processed through the ASB.
  • Work with the State Auditor’s Office during the District’s yearly audit.
  • Collect all ASB minutes from each school. Review minutes looking for potential compliance issues.
  • Initiate the ASB budget process. Work with students supported by coaches and club advisors as they prepare their yearly budget. Collect budget documents, review, and then submit to the District’s Business Director.
  • Provide monthly ASB reports to coaches and club advisors through a Google Drive. Train and answer student officers', coaches', and club advisors' questions regarding their budgets, as appropriate.
  • Enter transfers between clubs as necessary.
  • Work with the Director of Business to develop the District Fee Schedule for all funds.
  • Set up and maintain cash boxes for ASB activities. Ensure that the staff utilizing the cash box is aware of proper cash handling procedures.
  • Set up and maintain the change fund for LHS.
  • Responsible for all aspects of curriculum inventory and textbook distribution.
  • Maintain student accounts in Skyward. Process receipts for fees within the software. Apply fines to student accounts as necessary. Relay this information to the counseling office, as students are not allowed to receive their diplomas and may not be allowed to walk at graduation when there are unpaid fines.
  • Issue invoices to vendors and/or staff when necessary. (Low volume)

Other Functions

  • Correspond with vendors as needed.
  • Partner with school parent groups- PTN, Boosters, etc.
  • Assist in promoting a positive public relations image.
  • Answer the telephone.
  • Proficient in the use of Microsoft Office Suite and District accounting/student records software (Skyward).
  • Maintain accurate and current files pertaining to office business.
  • Produce reports from system as needed.
  • Produce/file/download various state reports.
  • Maintain communication with the district’s schools and administration office.
  • Other duties as assigned by building or district administration.

QUALIFICATIONS
Minimum Required Qualifications (Traits, Education, Experience, Training, physical requirements, etc.):

  • High school diploma or equivalent.
  • WSP/FBI Fingerprint Clearance.
  • Knowledge of District policies and procedures.
  • Bookkeeping/General Accounting experience.
  • Demonstrated aptitude and competence for assigned responsibilities.
  • Education, experience, or formal training to perform required duties preferred.
  • Proficient use of office machines and computers.
  • Knowledge and proficiency in word processing (40+ WPM), database, and spreadsheets. Demonstrated skill in Microsoft Office Suite Applications.
  • Demonstrated use of proper grammar, sentence structure, punctuation, spelling, and proofreading skills.
  • Ability to work independently, organize systems, meet deadlines, and be self-motivated.
  • Demonstrated skills in attention to detail.
  • Work with colleagues in a collaborative manner and maintain positive professional relationships.
  • Meet multiple demands in a pressure situation and maintain high levels of quality work.
  • Maintain confidentiality.
  • Ability to deal with the public, other agencies, and district employees positively and productively.
  • Ability to approach, request, and follow up with staff and administrators on paperwork and state reports to meet specified deadlines.
  • Communicate clearly, both verbally and in writing.
  • Skills may be demonstrated by proficiency tests as part of the interview process.
