What you’ll do:
In this role, you will manage the full lifecycle of litigation files — from complaint to verdict — ensuring all tasks are completed promptly, deadlines are met, and case materials are trial-ready. Your responsibilities will include, but are not limited to:
- Oversee the firm’s roster of active cases simultaneously, maintaining detailed and organized case files (digital and physical).
- Monitor case progress, track deadlines, and provide regular updates to attorneys and clients.
- Ensure all discovery responses, pleadings, and filings are accurate, complete, and timely.
- Understand the pre-litigation process to ensure complete claim-phase documentation, including sufficient photos, medical records, and lost wage information.
- Verify that case files are trial-ready from the outset of litigation, with no gaps from the claim stage.
- Draft, review, and track discovery requests and responses for all attorneys and defendants in multi-party litigation.
- Follow up on outstanding discovery with opposing counsel, UM/UIM (uninsured and underinsured motorist) carriers, and their attorneys.
- Coordinate statutory service to counsel and handle e-filings with precision and timeliness.
- Prepare deposition and mediation materials, including organizing exhibits, witness lists, and attorney slide presentations.
- Assist in creating comprehensive mediation presentations (often resembling trial openings) that set the tone for settlement negotiations.
- Prepare trial binders, jury instructions, and exhibit lists.
- Coordinate with expert witnesses, clients, and providers to ensure readiness.
- Maintain proactive, personable, and consistent contact with clients to secure timely responses, complete discovery requests, and provide case updates.
- Guide clients through the litigation process, ensuring clarity and confidence at each stage.
- Update and maintain all case statuses in FileVine.
- Ensure both digital and physical files are accurate and current to allow for seamless access by attorneys and other team members.
