Logistic Supervisor

Department: Operations
Location: Dubai, UAE (office + field visits)
Schedule: 6 days a week; morning/evening peaks; on-call for incidents
Reports to: Head of the Operations Department

Role Mission:
To be the single point of responsibility for the daily transportation of staff and vehicle management. This includes morning drop-offs at client locations, evening pick-ups and employee transportation, daytime dispatching for hourly/additional requests, fuel and vehicle condition control, driver management, organizing permits for entry into gated communities and for seamless building access for staff. Also includes maintaining staff schedules for attendance, sick leave, lateness, and disciplinary penalties, and entering all data into the company's electronic record system.

Areas of Responsibility:
1. Transport and Fleet Management:

- Daily routing: creating and issuing route sheets (AM drop-off, PM pick-up, daytime hourly trips) and making real-time adjustments.
- Assigning drivers and vehicles, monitoring deployment, and arranging replacements for emergencies (breakdowns, driver/no-show).
- Monitoring GPS/telematics data, ensuring discipline on routes and times, and minimizing empty mileage.
- Fleet maintenance: service and repairs, registration/insurance, managing tolls (Salik).

2. Fuel control:

- Managing fuel cards, tracking liters per 100 km, investigating discrepancies and leaks, weekly reconciliations.
- Incident/accident procedures: reporting, investigation, corrective actions (CAPA), returning vehicles to service.

3. Staff Operations (Schedules and Accounting):
- Creating and controlling the daily staff schedule (shifts, addresses, time windows, on-site contacts).
- Continuous communication with customer support and the operations department for staff replacements in case of no-shows, and quickly informing all parties of route changes.
- Daily entry of staff changes (assignments, replacements, sick leave, lateness, overtime, no-shows, early departures, penalties).
- Weekly and monthly Staff Utilization Reports with conclusions and action plans (utilization rate, on-time performance, cost per trip/hour).

4. Driver Management and Discipline:
- Daily briefings/debriefings; enforcing HSE standards, appearance, and on-site behavior.
- Scheduling and managing a reserve pool, monitoring shifts, and taking disciplinary measures for violations.
- Training on new routes/processes and providing corrective feedback based on audit results.

5. Reporting and Improvement:

- KPI dashboards: on-time percentage, average load per trip, cost per trip/hour, fuel consumption vs. benchmark.
- Optimization initiatives: improving route logic, driver allocation, fleet composition, and reducing empty mileage.
- Mandatory Events for System Recording
- Employee no-shows/lateness; sick leave; emergency leave; vacation/planned day off.
- Shift rescheduling/changes per client request; change of address or time window.
- Shift extension (overtime) / shift reduction.

6- Employee replacement: Temporary transfer between clients/locations; role change during a shift.

Candidate Profile
- 3-5 years in dispatch/driver logistics and/or fleet management (UAE experience a strong plus).
- Experience with live routing and crisis management (no-shows, breakdowns, traffic, client changes).
- Strong Excel/Google Sheets skills; confident use of GPS/telematics systems and fuel card portals.
- Practical experience with electronic employee record systems.
- Clear communication, strict discipline with data and deadlines; English is mandatory.
- Readiness for on-call duty; UAE driver's license is a plus.11:51
