We are seeking a Logistics Manager to join our high-performing, creative team. This pivotal role ensures that every design project runs seamlessly—from order placement to final installation—by managing logistics, expediting, scheduling, and coordination and communication among project managers, vendors, workrooms, and warehouses. You will be the key driver of operational excellence, ensuring accuracy, timeliness, and adherence to our firm’s elevated design and client service standards., working in close partnership with the project managers. This position requires a proactive, detail-oriented, and assertive professional who thrives in a fast-paced environment.

What you will do:

1. Project Coordination & Scheduling

  • Collaborate with Senior Project Managers to plan project timelines and deliverables.
  • Develop attainable schedules and monitor milestones for all project phases.
  • Proactively initiate communication to project teams on status on weekly or regularly determined basis; maintain timely communication with project teams to ensure status updates and task completion.
  • Coordinate between internal staff, warehouse, vendors, and freight partners to ensure timely receiving and delivery of goods.
  • Anticipate scheduling or delivery conflicts and take proactive steps to mitigate delays.

2. Expediting & Vendor Management

  • Create and manage freight and warehouse purchase orders, ensuring accuracy in pricing, tax, and profitability (maintain data in Studio Designer).
  • Maintain strong professional relationships with vendors and workrooms.
  • Track and update all orders daily, addressing delays or production issues promptly.
  • Communicate order status to the project team, as required.

3. Logistics & Operations

  • Serve as the primary liaison between warehouse, freight, and project teams.
  • Oversee third party receiving, storage, and delivery of all items to ensure accuracy and condition.
  • Troubleshoot and arrange remedies for missing, delayed, or damaged items; oversee replacements of damage items in a timely manner.
  • Organize and oversee installations in coordination with project team members, ensuring all components arrive as scheduled and in perfect condition (e.g. lightbulbs).
  • Manage post-installation punch lists, returns, and final closeout documentation.

4. Financial & Administrative Management

  • Maintain organized records for all orders, receipts, and deliveries; cross-check to ensure all is accounted for correctly and alert project team with any issues.
  • Maintain and leverage Studio Designer data to track and manage key tasks and information.
  • Enter and track all billable time in the firm’s time tracking software (Harvest).

5. Team Collaboration & Accountability

  • Act as a key partner owning responsibilities and proactively working with project team.
  • Recommend and implement process improvements and efficiencies.
  • Enforce and model adherence to firm protocols and quality standards.
  • Communicate clearly and assertively with Project Managers to ensure accountability and follow-through.
  • Participate in team or project meetings and project reviews.
  • Proactively identify potential issues and propose solutions before escalation.
  • Support a positive, collaborative, and professional team culture.

Qualifications

Experience

  • Minimum 5 years of experience in logistics, procurement, expediting, or project management, preferably within a high-end interior design or related industry.
  • Proven ability to manage multiple complex projects simultaneously, up to 30 projects at one time supporting multiple members of the project team.
  • Experience leading coordination between internal teams and external vendors.

Knowledge & Skills

  • Excellent project management and organizational skills.
  • Strong problem-solving ability and proactive approach.
  • Clear and confident communicator (written and verbal).
  • Proficiency with Studio Designer or similar software is a plus.
  • Experience with time billing software is a plus (e.g. Harvest).
  • Proficiency with Apple products and applications.
  • Experience in Adobe, Dropbox, Microsoft Office and Outlook a plus.

Working Conditions

  • Work hours 9 am to 5 pm, with some flexibility.
  • Hybrid work schedule potential: on-site presence required during onboarding and as project needs demand.
  • Occasional travel to warehouses, vendor showrooms, and project sites.
  • Must be physically able to assist during installations, including light lifting and setup coordination.
