Position Overview
The Logistics Manager is a senior leadership role responsible for managing the full scheduling lifecycle - from point of sale through project completion. This person leads the Scheduling Team, oversees document accuracy and workflow efficiency, collaborates closely with Project Managers, and ensures that Clients receive a seamless and exceptional experience throughout the production process.
Schedule / Hours:
- Mon-Fri: 8:30AM - 5:30PM
- Last Saturday of Each Month: 9:00AM - 1:30PM
Key Responsibilities:
- Lead, mentor, and manage the Scheduling Team, ensuring high performance and accountability.
- Oversee document accuracy, contract reviews, job folder completeness, and workflow consistency among all Scheduling Coordinators.
- Develop and enforce scheduling processes, communication standards, and documentation protocols.
- Serve as the primary escalation point for complex scheduling challenges and Client issues.
- Monitor and assign scheduling dates, identify gaps, and maintain optimal workflow to support timely project completion.
- Oversee the use and accuracy of scheduling and production tools such as SmartSheet and PipeLine CRM.
- Partner with Project Managers to ensure all job-related documentation, materials orders, contracts, and invoices are accurate and complete prior to project start.
- Ensure consistency in Client communication, including start-day calls, updates, and follow-up interactions after job completion.
Qualifications:
- Exceptional attention to detail and document accuracy
- Strong communication and problem-solving skills
- Ability to thrive in a fast-paced, deadline-driven environment
- (Preferred, but not required) 3-5+ years of experience in scheduling, operations, or project coordination
- (Preferred, but not required) Experience using scheduling or project management systems
- (Preferred, but not required) Familiarity with SmartSheet, CRMs, or production tracking tools
