RESPONSIBILITIES/DUTIES
Administrative & HR Coordination
- Manage payroll-related activities, including tracking work hours, pay rates, and overtime, and submitting accurate payroll data.
- Handle administrative documentation such as leave requests and overtime forms for technicians.
- Prepare operational documents, including work checklists and mode-of-operation forms, based on the monthly schedules provided by engineers.
Logistics & Inventory Support
- Maintain and oversee tool storage, PPE, and accessory inventory; conduct regular stock counts to ensure availability.
- Coordinate the procurement of materials and spare parts in collaboration with the Supply Chain team.
- Ensure a consistent supply of logistics needs such as water, stationery, and office materials for the RSU.
Data Entry & Record Keeping
- Input traceability data after each maintenance activity into the MMS system or designated Excel files.
- Scan and archive maintenance checklists into the RSU's shared drive after completion by relevant teams (LRW, GOW, DEQ).
Facilities Coordination
- Conduct regular inspections of RSU-managed buildings.
- Submit service requests for facility maintenance and coordinate necessary repairs with building owners.
- Maintain records of facility issues and follow up on resolution timelines.
Safety Responsibilities
- Promote a positive safety culture within the workplace and attend any safety-related meetings or briefings as required within the job role.
- Comply with the requirements of RDMC RQHSE Policy and Safety Management System.
- Be mindful that Safety, Security, and Environmental protection are everyone’s responsibility.
- All staff members are accountable for reporting and intervening in any Safety, Security, or Environmental violations.
ESSENTIAL QUALIFICATIONS, KNOWLEDGE & EXPERIENCE
Qualifications:
- Bachelor’s degree in business administration, logistics, or a related field.
Knowledge & Skills:
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Solid understanding of administrative workflows.
- Awareness of safety principles relevant to industrial or maintenance environments.
- Familiarity with the basic handling and storage of tools and equipment.
- Strong organizational and time management skills with the ability to multitask and prioritize effectively.
Experience:
- 0-3 years of experience in a maintenance, logistics, or warehouse environment.
- Prior exposure to the railway industry is an advantage.
