Mail Room Operator

Position Summary:

The Mail Room Operator provides essential support services by sorting, processing, and distributing incoming and outgoing mail, packages, and internal deliveries for Trinity Health. This role ensures the timely, accurate, and secure handling of all mailroom operations while supporting interoffice delivery needs and assisting with related clerical tasks in accordance with established organizational procedures. Working as part of a coordinated support services team, the Mail Room Operator contributes to smooth daily operations by maintaining organized workflows, clear communication, and consistent attention to detail that supports departments across the organization.

Key Responsibilities:

  • Sort, process, and distribute incoming and outgoing mail, packages, and interoffice deliveries according to established procedures.
  • Operate mailroom equipment such as postage meters, folder inserters, and labelers.
  • Track and document delivery of time sensitive or accountable items as required.
  • Maintain mailroom supplies, cleanliness, and organization.
  • Coordinate with departments and external carriers to address delivery or pickup needs.
  • Follow safety, security, and confidentiality procedures when handling mail and packages.
  • Assist with other clerical or support tasks for the department as assigned.

Licenses and Certifications Required:

  • Valid drivers license is required

Educational Requirements:

  • High school diploma or GED preferred.

Experience Requirements:

  • Two years of related experience is preferred.

Physical Requirements:

The Mail Room Operator requires the ability to perform office and computer based work, including sitting for 6–8 hours per shift with intermittent standing and walking; frequent keyboarding, data entry, and document handling; and fine motor skills necessary for working with calculators, computers, and office equipment. The role may occasionally require lifting or moving up to 20 pounds of files, supplies, or related materials. Adequate vision, hearing, and communication abilities are needed to perform job responsibilities safely and effectively.

Environmental Requirements:

Work is performed in an office and corporate finance environment with routine exposure to computers, office equipment, shared workspaces, and typical noise levels. Duties may involve working with deadlines, periodic peak workloads, and frequent interaction with colleagues, vendors, and other departments. The role requires adherence to Trinity Health policies, including confidentiality, information security, and safety procedures.
