Maintenance Administrative Assistant

We are seeking an Administrative Assistant to support the daily operations of the Safety & Maintenance Department by handling a range of administrative and logistical tasks. This role will be responsible for maintaining accurate records, managing inventory and supplies, coordinating service schedules, and assisting with compliance documentation. This position is a vital part in ensuring smooth departmental operations and contributing to the overall effectiveness and efficiency of the Maintenance team.


Key Responsibilities:

  • Administrative Tasks:
    • Maintaining records of maintenance activities, work orders, and inventory
    • Managing and organizing files, both physical and digital
    • Tracking and ordering maintenance supplies and equipment
    • Analyzing asset data to assess costs and depreciation values
    • Scheduling appointments, meetings, and repairs
    • Preparing reports on maintenance activities and costs
    • Managing and distributing information to staff
  • Maintenance Support:
    • Working with in-house mechanics to create schedules, repairs, required equipment, and time entry
    • Working with operations on prioritizing asset requirements
    • Monitoring and maintaining fleet management
    • Ensuring a safe and organized work environment
  • General Support:
    • Pricing and sourcing parts; handling pickup & delivery
    • Facilitating licensing, registration, plating, and inspections of company vehicles
    • Providing general office support to the Safety & Maintenance team
    • Coordinating with vendors and contractors as needed

Skills and Qualifications:

  • Familiarity with general Equipment and Vehicle maintenance procedures, tools, and safety practices preferred.
  • Strong organizational, communication, and computer skills (including Microsoft Office) are essential.
  • Ability to identify and troubleshoot minor issues.
  • May require some lifting, bending, and standing for extended periods.
