Maintenance Coordinator
Location: Fredericksburg, TX (On-site, Full-Time)

Position Summary
The Maintenance Coordinator is responsible for overseeing, managing, and scheduling all maintenance work orders across the company’s portfolio of properties. Working within Guesty and Breezeway softwares, this individual ensures maintenance tasks are properly assigned, scheduled, and completed on time with quality. The role requires strong organizational skills, computer and technical skills, attention to detail, and the ability to effectively communicate between internal teams, vendors, and leadership.
As part of a growing hospitality company, this position requires flexibility to adapt to business needs, including occasional evenings, weekends, or holidays to support guest and homeowner satisfaction.
Key Responsibilities:
Work Order Management & Scheduling
- Oversee and manage all incoming maintenance work orders in Guesty and Breezeway.
- Schedule maintenance tasks and assign to internal staff or external vendors based on urgency, location, and availability.
- Monitor and track progress of all open work orders, ensuring timely resolution.
- Close out completed work orders and maintain accurate records.
Systems & Technology Oversight
- Become a super user of Guesty and Breezeway to efficiently manage scheduling and maintenance workflows.
- Keep digital records of all work orders, schedules, and vendor communications updated and accurate.
- Suggest and implement improvements to system workflows and reporting.
Communication & Coordination
- Act as the central point of contact for all maintenance-related scheduling and updates.
- Provide timely communication to property managers, inspectors, and guest service teams.
- Escalate recurring or unresolved issues to the Quality Assurance Manager.
Quality & Compliance
- Support the Quality Assurance Manager to ensure maintenance work meets brand standards.
- Track and report recurring maintenance issues for proactive property improvements.
- Ensure vendors and team members adhere to safety standards and company policies.
Reporting & Administration
- Generate weekly and monthly reports on work order response times, completion rates, and outstanding tasks.
- Maintain updated vendor contact information and assist with compliance documentation.
- Provide feedback on vendor performance and recommend changes as needed.
Qualifications
Required:
- Strong computer and software skills with proven ability to learn new systems quickly.
- Highly organized and detail-oriented, able to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Comfortable working full-time in an office environment.
Preferred:
- Experience with Guesty and Breezeway.
- Background in maintenance coordination, facilities management, or hospitality operations.
- Prior experience in the hospitality or vacation rental industry.

Compensation
- Annual Starting salary: $40,000
