Job Summary:
The Admin Accountant is responsible for performing administrative and accounting duties within the factory. This includes maintaining financial records, managing invoices and purchase orders, supporting the budgeting process, and overseeing general administrative functions related to factory operations. The position requires strong attention to detail, organizational skills, and an understanding of basic accounting principles.
Key Responsibilities:
Financial Management:
Maintain accurate financial records for all factory-related transactions.
Process and track purchase orders, sales orders, and invoices.
Reconcile factory accounts and ensure financial discrepancies are resolved.
Assist in the preparation of financial statements, budgets, and forecasts.
Monitor and control factory expenses to ensure they align with the budget.
Accounts Payable and Receivable:
Manage accounts payable by processing vendor invoices and ensuring timely payments.
Handle accounts receivable by tracking customer payments and following up on overdue accounts.
Prepare and maintain aging reports for both payables and receivables.
Administrative Duties:
Organize and manage office supplies, inventory, and documents related to factory operations.
Coordinate with other departments to ensure smooth factory operations.
Handle correspondence, filing, and documentation for factory-related activities.
Manage scheduling, meetings, and other administrative functions for factory management.
Compliance and Reporting:
Ensure compliance with factory policies, accounting standards, and tax regulations.
Assist in audits by preparing necessary documentation and reports.
Prepare periodic financial and operational reports for management review.
General Factory Support:
Provide general support to factory management on various tasks.
Coordinate with suppliers and customers to ensure timely deliveries and payments.
Assist in managing operational issues as they relate to financial impacts.
Required Skills and Qualifications:
Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Experience: At least 2–3 years of experience in accounting or administrative roles, ideally in a factory or manufacturing environment.
Technical Skills:
Proficiency in accounting software, Inventory
Proficiency in MS Office (Excel, Word, Outlook).
Knowledge of financial regulations and tax compliance.
Soft Skills:
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Good communication skills, both written and verbal.
Ability to work under pressure and handle multiple tasks simultaneously.
Preferred Qualifications:
Experience with the factory. Advantage
Knowledge of cost accounting or inventory management.
Work Environment:
Office-based within the factory premises.
It may require occasional travel or visits to other company sites.
Reports To:
Finance Manager or Factory Operations Manager
This role plays a key part in ensuring the smooth financial and administrative operations of the factory while maintaining proper controls over financial resources. The Admin Accountant must be both detail-oriented and able to see the bigger picture to help improve overall efficiency and profitability.
