Job Description
Position : Manager, Administration and Accounts

- Lead, review, and manage all daily administrative and accounting operations, including high-level government and internal correspondences.
- Oversee the accuracy of all account transactions (Customers, Suppliers, Cash, Bank, Payroll, and General Ledger) and enforce credit policy requirements.
- Take full responsibility for the reconciliation of all ledgers and the production of monthly Trial Balances and financial statements.
- Supervise the processing of daily payroll data, including overtime, leave management, and final settlements in strict accordance with Bahrain Labor Law.
- Manage the lifecycle of staff Permits, CPRs, and Gate Passes, ensuring timely renewals and communication with HR three months in advance.
- Review and approve all Cash Ledgers on a weekly basis to ensure liquidity and accuracy.
- Oversee the timely generation and submission of monthly customer invoices within the first week of each month.
- Analyze daily sales reports across all branches, supporting the marketing and sales teams in developing future promotions and requirements.
- Direct the follow-up strategy for retail and B2B collections and provide high-level reporting to senior management.
- Manage the LPO process by reviewing competitive quotations and verifying supplier statements prior to payment authorization.
- Ensure all utility and rent obligations are recorded and settled well before due dates.
- Lead the management of store inventory and conduct monthly physical verifications of stock and fixed assets.
- Perform regular branch audits to verify orders in progress, collection status, and strict adherence to company policies.
- Lead the preparation of Audit reports, Business plans, Annual budgets, and VAT filing/reconciliation.
- Develop costing and quotations for customers and assist management in finalizing strategies for business expansion.
- Oversee the drafting of job offers, job descriptions, and employment contracts for all staff.
- Direct the planning, implementation, and integration of ERP systems with IT partners and serve as the lead trainer for the team.
- Handle escalated customer complaints and provide high-level support for logistic controls and security reviews.
- Assume all responsibilities and decision-making authority of the department during the absence of senior management as authorized.
- Perform any other jobs assigned to you from time to time by the Management and Director.
