Job Description

Job Title: Manager Credit Documentation

Department: Credit Middle Office

Reports To: Head of Credit Documentation

1. Job Purpose

To manage and supervise a team responsible for the end-to-end credit documentation process. This includes overseeing the preparation of documentation, conducting "fit to lend" checks, executing mortgages, and the safekeeping of documents. The Manager ensures all activities are performed in line with agreed service standards (SLAs), upholds the highest quality of asset management, and fosters a proactive work culture to achieve excellent results through effective management and mentoring. The role requires close collaboration with all stakeholders to develop best practices and provide expert guidance on documentation to ensure compliance and mitigate legal risk.

2. Principal Accountabilities & Responsibilities

Work Management:

  • Ensure all Credit Middle Office policies and procedures are strictly followed in accordance with the Bank's credit policies and relevant UAE Central Bank/Government guidelines.
  • Adhere to UAE laws and regulations concerning collateral and document legality, coordinating with the Legal Department as required.
  • Review and ensure facility offer letters and loan agreements are drafted precisely as per the credit application approved by the delegated authority and in line with documentation SOPs for all Wholesale Banking facilities (conventional and Islamic), covering NTB, renewal, and amendment requests.
  • Ensure documentation procedures are followed to finalize facility documentation, collateral documentation, and other required legal documents.
  • Authorize the release of limits by ensuring "fit to lend" checks are completed, all collateral documentation (including mortgages) is executed, and all conditions precedent (CPs) are met as per the credit approval.
  • Manage and track all credit-approved deferrals, ensuring timely follow-up and clearance to maintain perfected facility documentation and mitigate risk. Provide regular status updates to management.
  • Ensure the timely lodgment and safekeeping of all facility documentation in accordance with the vault operation and safekeeping policy.
  • Ensure periodic inspections are conducted to verify tangible collateral and that the Bank's liens are registered with the respective authorities as per statutory requirements.
  • Ensure all necessary approvals are obtained before authorizing any release of original documents or securities.
  • Continuously monitor team workflow and efficiency to ensure the timely preparation and execution of documents within agreed SLAs.
  • Conduct constant reviews of day-to-day team functions to ensure compliance with all policies and procedures.

People & Performance Management:

  • Manage, develop, train, empower, and motivate staff to ensure both team and individual goals are met.
  • Measure, monitor, and improve productivity through benchmarking of processing times and transaction volumes.
  • Maintain KPIs and a balanced scorecard for staff, including recognition for high performers.
  • Prioritize and allocate daily work to officers and senior staff to ensure the timely completion of processes.

Reporting:

  • Ensure all related MIS reports (e.g., SLA, TAT, Activity Reports, Transaction Reports, Operations Risk, Internal Control Checklists) are completed and submitted within stipulated timelines.

3. Job Requirements

Qualifications:

  • Bachelor’s degree, preferably in Finance or a related field.
  • Proficiency in MS Office applications, especially Word and Excel.
  • Sound knowledge of core banking systems and other relevant satellite systems.

Experience:

  • Minimum of 6 years of experience in the banking sector.
  • At least 3 years of specific experience in Credit Documentation within Wholesale/Corporate Banking.
  • Sound knowledge of corporate credit principles.

Skills:

  • Excellent verbal and written communication skills in English.
  • Strong report writing skills.
  • Thorough knowledge of legal and statutory requirements relevant to banking in the UAE.
  • Computer literate with advanced skills in business software applications.

4. Job Context & Dimensions

  • The role operates in a challenging economic environment with evolving customer requirements.
  • The Manager is critical to maintaining the highest level of asset quality and minimal NPA levels.
  • Requires monitoring the effectiveness of controls and adapting to changes like business process outsourcing and digitization.
  • Manages a team of 4-6 direct reports and is responsible for all corporate banking borrowing clients.
  • Requires extensive communication and collaboration with Legal, Credit, Corporate Banking, and other internal stakeholders.

5. Authority & Decision Making

  • Works within approved policies and procedures, ensuring regular supervision.
  • Authority to sign facility documentation, mortgage contracts, and related documents.
  • Responsible for the final "fit to lend" authorization before limit release.
  • Authority to solve problems escalated by staff that go beyond routine matters.
  • Full authority to manage, allocate work, and develop the team.
