Here's a summary of responsibilities:
The Ground Transportation Manager is a key member for the USOPC’s Outside Operations staff for the Olympic Games and will work closely with the USOPC Operations team, Village team, and other site leads to support the delivery of the key Transportation function of the Games environment. This role will report to the Senior Director Logistics, operating as the Milan Operations Center Lead during the Games.

The role will provide expertise in the development, planning, and execution of on-site event logistics during the Olympic Games in Milan-Cotina. This role is responsible for leading the Ground Transportation team across the entire Games-time footprint and specializes in ground transportation strategies, planning, and administration for the Logistics team. This individual must embody a team-first attitude and a spirit and passion for providing excellent customer service. The role will strategically lead the design of transportation solutions for the needs of each Games and Functional Area requiring transportation support and will act as a subject matter expert for all stakeholders.

This role involves significant advanced preparation, including pre-event planning and the strategic coordination of ground transportation resources for the entire Olympic delegation. In addition to responsibilities for the Olympic Games, this can typically be extended to supporting ground transportation operations during the pre-Games and transition periods. As such, the individual must be prepared for an extended period abroad, managing the unique demands of the Games while maintaining high standards of service and adaptability in a fast-paced, international environment.

This is a temporary position with an anticipated duration of 1-2 months.

Here’s how you’ll have an impact:

Before the Games
  • In partnership with the Senior Director of Logistics, develop the overall strategy and planning for the Ground Transportation Functional Area.
    • Onboard a dedicated team to deliver Games Transportation.
    • Manage planning and strategy for Ground Transportation in coordination with transportation vendors (overall and local).
    • Procure and contract additional ground transportation support where required.
  • Participate in Outside Operations training/team building sessions as scheduled and develop rapport with other delegation team members.
    • Support discussions during training sessions to clarify the role and responsibilities of the Transportation Functional Area.
    • Establish clear expectations and communication protocols for transportation team members.
  • Participate in Outside Operations Site Area meetings scheduled leading up to the Games.
    • Act as a source of information for all transportation-related inquiries from other Functional Areas.
    • Provide detailed guidance on ground transportation operations, ensuring alignment with overall logistics.
    • Work with Ground Transportation Specialist to proactively address gaps or inconsistencies in transportation plans and communicate updates to all stakeholders.
  • Provide information and details to the Ground Transportation team as needed.
    • Participate in regular Ground Transportation meetings as scheduled to provide direction and ensure progress.
    • Assist the Ground Transportation Leads in the support of Ground Transport Support colleagues and in sharing and presenting relevant information for assigned tasks.
  • Participate in planning sessions/calls as needed with Logistics, Games Operations, and Organizing Committee in the lead-up to Games.

During the Games
  • Oversee and lead the Ground Transportation Functional Area and ensure necessary information is supplied to the transportation vendors and delegation members throughout the Games.
  • Provide clear direction to the Ground Transportation team to ensure seamless operations during the Games.
  • Serve as the primary point of contact for all transportation-related inquiries from assigned delegation members and vendors.

  • Lead operations for all delegation motor pools, liaising with all Team USA operational areas (Village(s), Airport Operations, Operations Center, Ground Transportation vendor, Team USA Welcome Experience, etc.).
  • Provide leadership and oversight to ensure motor pool resources are allocated efficiently across multiple sites.
  • Establish communication channels with all operational areas to address transportation needs and resolve issues. Support team members to maintain strong communication channels throughout the operational period.
  • Support vendors in reviewing pre-planned transportation and in adjusting schedules or service levels as needed by real world operations.
  • Manage and coordinate pre-planned shuttle and other transport between operating venues.

  • Manage relationships and communications with Fall Line Ltd. and local transportation company.
  • Conduct discussions with Fall Line Ltd. and the local transportation company to address challenges and optimize service delivery. Support the Ground Transportation function in the facilitation of escalated discussions or requirements with transportation vendors.
  • Monitor vendor performance and communicate adjustments or concerns as they arise to Logistics leadership.

  • Support Arrivals & Departures with transportation information as needed.
  • Review flight and travel manifests daily for accuracy for allocation and scheduling of ground transportation resources.
  • Provide detailed feedback on transportation logistics, including flight schedules, vehicle availability, and staffing needs.
  • Collaborate with stakeholders to align on arrivals and departures plans.

  • Oversee Ground Transportation Leads and Support colleagues within assigned locations and functional areas:
  • Provide leadership and direction to Ground Transportation staff at all assigned locations.
  • Monitor performance and address operational challenges to ensure a high standard of service to all stakeholders.
  • Conduct regular check-ins with site leads to review progress, share updates, and address concerns as they arise.
  • Provide training and background, on-site and in advance, for any new members of the Ground Transportation team.

  • Serve as a part of the Games transition team to support the transition from Olympic Games to Paralympic Games.
  • Deliver Ground Transportation efforts during the transition period to ensure continuity of operations.
  • Coordinate with the Paralympic Games team to adjust transport plans and schedules as needed.
  • Provide guidance to staff and vendors to facilitate a smooth transition between events.
  • Remain flexible and proactive in addressing unexpected challenges or operational needs.
  • Collaborate with other teams to contribute to a unified and effective Games operation.
  • Assist with other duties as assigned.

After the Games
  • Contribute to the Ground Transportation after-action meetings and collation of after-Games reports from all members of the Ground Transportation team.
    • Support the compilation feedback from surveys, meetings, and personal observations into a detailed report led by the Ground Transportation Specialist.
    • Identify specific opportunities for improvement and provide any recommendations for future Games.
  • Participate in post-Games survey.

Here are the skills and experience you'll need to be effective:
  • Bachelor’s degree or equivalent work experience
  • Must possess or have the ability to obtain a valid passport
  • Must possess a valid driver’s license
  • 5+ years in logistics/sports event management
  • 2-4 years in event logistics/ground transportation
  • Experience working in the Olympic/Paralympic or professional sports environment or for a National Governing Body (NGB) preferred
  • Experience with international events and logistics a plus
  • Excellent written and verbal communication skills
  • Adaptable and flexible with the ability to meet multiple simultaneous demands and function in a deadline-driven environment
  • Capable of taking direction and conveying a vision to other team members
  • Strong interpersonal and customer service skills while maintaining a calm demeanor
