Pay range: $77,640 - $126,170 / year

Job Description

Provides administrative and financial leadership in support of the daily operations of UAB Medicine Human Resources. Facilitates annual budget development and ongoing budgetary oversight. Handles departmental personnel transactions and processes, procures office equipment, and maintains department contracts. Oversees HR Records Administration function. Manages special projects as necessary

Key Duties and Responsibilities:

  • In collaboration with the UAB Medicine HR executive leadership team, develops annual budgets for UAB Health System, UAB Hospital, and HSF HR departments. Monitors department budgets on a monthly basis, notes trends, variances, and/or discrepancies, and researches issues as necessary.
  • Provides financial and HR process support. Ensures timely approval and payment of invoices. Researches invoices and payments. Submits and approves Oracle documents. Creates personnel action forms and ACT documents. Serves as Oracle Workflow Officer for HR department.
  • Facilitates the procurement of necessary equipment (personal computer, printer, phone, etc.) and setup of systems access for new department employees.
  • Maintains HR position control on an ongoing basis.
  • Maintains department contracts within the ESM system and monitors for termination dates and renewals.
  • Provides HR project support, including flu vaccine compliance tracking and exemption request facilitation, as well as ad hoc strategic project support.
  • Maintains HR employee photo directory.
  • Oversees HR records administration including the supervision of staff. Ensures appropriate responses to subpoena requests for records. Collaborates with other key HR team members to provide employee files for review by various surveying bodies, including Joint Commission.
  • Serves as HR liaison with UAB International Student and Scholar Services (ISSS) on immigration related matters, including but not limited to I-9 completion and maintenance, H1B filings, etc.
  • Maintains compliance with federal and state mandated employment posters. Ensures posters are up to date and displayed in all necessary locations.
  • Serves as project lead on HR facilities-related tasks (building moves, furniture procurement, construction projects, etc.).
  • Performs other duties as assigned.

Qualifications

Bachelor's degree in Business or a related field and five (5) years of related experience required. Master's degree preferred. Work experience may NOT substitute for education requirement. Currently certified as a Professional in Human Resources (PHR) or Senior Professional in Human Resources (SPHR) by the Human Resources Certification Institute (HRCI) preferred. Currently certified as a SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) by the Society for Human Resource Management (SHRM) preferred.
