Position Summary:
The Incumbent is responsible for managing tenancy lease agreements, premises acquisition/vacation, project renovations, auction proceedings and facility management related administrative assignments.
KEY RESPONSIBILITIES:
Facility Operations & Maintenance

Oversee day-to-day operations of office buildings, warehouses, or other facilities.

Ensure proper maintenance of HVAC, electrical, plumbing, fire safety, and security systems.

Develop and implement preventive maintenance schedules.
Health, Safety & Compliance
-
Ensure compliance with local building codes, safety standards, and regulatory requirements.

Implement workplace health and safety policies.
-
Conduct regular inspections and risk assessments to identify potential hazards.
Vendor & Contract Management
-
Manage contracts with service providers including security, housekeeping, maintenance, and utilities.

Negotiate cost-effective solutions and monitor vendor performance.
Budgeting & Cost Control

Prepare and manage facility budgets, including operating and capital expenses.

Monitor utility consumption and implement energy-saving initiatives.
Space & Asset Management
-
Plan and allocate office/workspace layouts to optimize usage.

Maintain an updated record of company assets, equipment, and facility-related inventory.
Crisis & Emergency Management
-
Develop and maintain emergency response procedures (fire drills, evacuation plans, etc.).

Ensure business continuity and disaster recovery preparedness.
Real Estate Management.

Identification of suitable bank premises and negotiation of bank terms and conditions to finalize tenancy agreement with property owner.

Preparation of tenancy agreement and ensure commercial clauses according to settled terms & conditions vetted by Legal.

Work with service contractors, internal and external stakeholders to implement and manage comprehensive project renovation works.

Manage the design and vendor performance of delegated responsibilities.

Ensure that SLAs are in place for the services being obtained from vendor.

Responsible to manage i-Portal queries and coordinate the same with internal customers for day to day issues.

Conduct regular surveys/ audit to identify hazards and ensure proactive handling / management of issues / risks.

Act as the liaison between internal & external stake holder for any escalate dissues.

Identify opportunities for capital improvement renovation, and assist in execution, in cooperation with other function.

To take up the case for disposal of assets with concern stake holders/departments.
-
Ensure that all employees within the team are aware of their roles, responsibilities and key objectives.

QUALIFICATION & EXPERIENCE

Bachelor's Degree
At least 6-8 years of relevant experience
