1. New Business Development & Vendor Approval

o Identify and onboard new customers, approach vendor approval processes for completion.

o Develop relationships with institutional buyers and government departments.

2. Tender Identification & Registration

o Research and identify tenders relevant to company products across various departments.

o Assess vendor registration requirements and complete necessary registrations.

o Ensure registration on relevant state e-procurement portals for online tenders.

3. Tender Submission & Compliance

o Analyze tender documents and key conditions such as tender fee, EMD, payment terms, delivery schedules, and penalties.

o Prepare and submit tenders with all required documents on time, ensuring error-free submission.

o Continuously monitor tender status and maintain a comparative price analysis of competing bids.

4. Purchase Order & Supply Chain Coordination

o Track purchase orders, security deposits, inspection calls, and material supply due dates.

o Ensure timely dispatch of material with proper documentation.

o Confirm material delivery, unloading, and store receipt generation.

5. Billing & Payment Follow-up

o Submit invoices and supporting documents to the concerned department for payment processing.

o Follow up regularly to ensure timely payment release.

o Process security deposit/performance guarantee withdrawals post-payment.

6. Record-Keeping & Compliance Management

o Maintain organized records for tenders, vendor approvals, EMD/SDBG, ISO compliance, and certification renewals.

o Ensure systematic department-wise filing and documentation.

7. Market & Procurement Monitoring

o Check daily emails and state e-procurement portals for new tender opportunities and private inquiries.

o Prepare and submit daily work reports to management, including updates on ongoing projects.

Key Skills Required :✅ Strong knowledge of institutional sales, tenders, and vendor registration processes.
✅ Excellent negotiation, coordination, and documentation skills.
✅ Ability to track multiple tenders, ensure compliance, and manage deadlines.
✅ Proficiency in government e-procurement portals and tender submission processes.
✅ Strong analytical skills for market trend analysis and competitive bidding.
