Smart Marine Solutions, LLC (SMS), supports the Caribbean's premier crewed term

charter yacht management company, Paradise Yacht Management. SMS is seeking a detail-oriented Marine Parts Person to join our busy marine service operation in Red Hook. You’ll be the link between technicians, vessel crews, and suppliers — managing parts sourcing, purchasing, and tracking to keep maintenance and repair projects running smoothly. This role is perfect for someone who enjoys logistics, problem-solving, and the satisfaction of keeping complex marine operations running efficiently.


Receive parts requests via the Log Book or the Tech Parts communication channel (e.g., WhatsApp group).
  • Add requests to the tracking spreadsheet and follow up for missing or unclear information.
  • Identify the correct part using manuals, supplier catalogs, and technical references.
  • Supply the part from existing stock when possible.
  • Source the part if not in stock, ensuring cost-effective and timely procurement.
  • For any order exceeding $1,000, prepare an estimate and submit for vessel owner approval.
  • Place orders for delivery to Red Hook, the freight forwarder (CaribConex), or the mail forwarder (St. Brendan’s Isle).
  • Track all orders and keep ETA information current.
  • Prepare and provide all necessary shipping and customs documentation for non-direct shipments.
  • Identify and pursue importation efficiencies and cost-saving opportunities.
  • Receive, inspect, and label incoming parts; notify the requesting technician or crew upon arrival.
  • Maintain organized, clearly labeled inventory storage areas.

INVENTORY CONTROL


Monitor stock levels and record usage accurately.
  • Assist in restocking and reordering essential supplies.
  • Keep the parts room clean, organized, and audit-ready.
  • Support the development and refinement of inventory tracking systems.

VENDOR RELATIONS & SOURCING


Identify potential vendor and dealer relationships to secure better pricing and terms.
  • Evaluate vendor performance and communicate feedback to management.
Maintain regular contact with preferred suppliers for pricing, lead times, and product updates.
Provide customer service support to outside buyers when applicable.

ADMINISTRATIVE SUPPORT


Maintain detailed parts tracking and purchasing records.
  • Support the Maintenance Manager and Service Coordinator by providing timely updates on orders, shipments, and delivery issues.
  • Assist with budget tracking and job costing related to parts and supplies.
  • Contribute to continuous improvement of parts and procurement procedures.
