JOB SUMMARY

The Marine Shipping Coordinator is responsible for handling the operations, coordinating berth

availability, performing precise pre- and post-loading checks and coordinating overall loading

operations ensuring minimal delays and effective coordination of ship movements with third

parties and internal stakeholders. The job holder is also responsible for maintaining organized and accurate technical and administrative records, ensuring data integrity and availability for future

reference

KEY RESPONSIBILITIES Job-Specific Responsibilities


Vessel & Road Tanker Operations

▪ Accept vessel nominations in the absence of Head of Marine Operations

(HMO), ensuring berth availability and verifying the nominated quantities

with the laycan start.

▪ Liaise with ship’s agents and MIC Port Operations regarding planned ship

movements.

▪ Verify Notice of Readiness Tender conditions, and coordinate laycan

extensions.

▪ Ensure safe and industry compliant of methanol road tanker operations.

Pre-arrival & Loading

Coordination

▪ Monitor the vessel’s Estimated Time of Arrival (ETA) notices (72, 48, 24,

and 12 hours), verify laycan status, review stowage plans, check de-ballast

water samples and confirm ballast water cleanliness.

▪ Perform inspection by checking the vessel’s last three cargos, cleaning

methods, and identifying any operational defects.

▪ Arrange gangway access and coordinate with surveyors and laboratories

for pre-arrival sampling.

▪ In conjunction with Commercial, Operations, independent cargo surveyors,

and responsible ship’s officers, prepare detailed loading plans ensuring

product quality is maintained.

▪ Complete and document appropriate ship/shore safety checks as required.

▪ Monitor the loading process, i.e. ensure correct mooring tension, maintain

agreed flow rates, and monitor back pressure and wind speed, etc.


Post-loading Activities Coordination

▪ Perform post-loading checks, e.g., verify Distributed Control System figures,

attend tank final gauge, record final depths, calculate loaded quantities,

Address discrepancies between shore and control room figures, ensuring

they are within acceptable ranges, etc.

▪ Collate and coordinate the approval of all documentation to support the

receipts and deliveries, including any Notice of Protest, Bills of Lading,

Certificates of Quality, etc.


Technical & Administrative Records Administration

▪ Review and sign letters of protest issued by the vessel, adding necessary

comments to protect company rights, and issue letters of protest on behalf

of QAFAC for various operational delays and discrepancies.

▪ Maintain a variety of technical and administrative records

(correspondences, price data relevant to products, shipping documents,

Discharge Certificates, lifting data, etc.) in an organized manner.

▪ Prepare various technical reports (e.g., surveyors’ reports, monthly and

annual reports, etc.) ensuring data accuracy.


General Responsibilities

Compliance

▪ Adhere to QAFAC’s safety, quality, and environmental standards to

guarantee employee safety, product quality, and environmental compliance.

▪ Ensure compliance with all relevant international standards such as the

International Safety Guide for Chemical Tankers

Minimum Qualifications:

▪ Diploma in Logistics, Supply Chain Management, Marine Studies or equivalent. Bachelors Degree will added advantage.

Minimum Experience:

▪ Minimum of 5 years of experience in dealing with chemical carriers at an oil and gas or

petrochemical company.
