Job Summary

Duties

  • Develop and implement marketing campaigns across digital platforms, including social media, email newsletters, and online listings to attract potential clients and promote property listings.
  • Manage client databases using tools, ensuring accurate data entry, record keeping, and timely follow-ups.
  • Serve as the front desk ambassador by greeting visitors and our real estate agents.
  • Coordinate calendar management for agents and team members, scheduling appointments, events, and meetings with precision.
  • Handle clerical tasks such as virtual filing, proofreading documents, data entry, and maintaining organized office records to support daily operations.
  • Provide exceptional customer service by assisting with inquiries via phone or email, supporting their needs throughout the buying or selling process.
  • Plan and coordinate events, office meetings and agent trainings.
  • Create listing descriptions with accuracy and creative. Produce marketing materials surrounding listings. Create agent marketing materials. Create office marketing materials.
  • Adhere to brand standards, as well as comply with MLS and license rules, when predicting all marketing materials.
  • Audit agent marketing materials for compliance.

Requirements

  • Proven experience in office management or administrative roles, within a real estate or related environment preferred.
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and familiarity with data entry and filing systems.
  • Excellent marketing skills and ability to implement social media marketing campaigns, email campaigns, as well as print marketing.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
  • Previous experience with clerical duties such as proofreading, calendar management, typing speed, and document preparation.
  • Knowledge of customer service best practices.
  • Ability to train on systems, implement agent marketing strategies, and facilitate meetings.
  • Ability to handle confidential information discreetly while maintaining a positive attitude under pressure.
