GeoPoint is a land surveying company with multiple locations, specializing in land development, geomatics, geospatial mapping, commercial surveys, and subsurface utility engineering.

Summary/Objective:

The Marketing & Administrative Support Assistant role at GeoPoint is a multifaceted position that supports both marketing operations and executive administration. The ideal candidate will assist the Marketing Manager and the Corporate Executive Assistant with tasks. Success in this position requires strong organizational skills, attention to detail, effective communication, and the capacity to manage multiple tasks in a dynamic environment, with occasional travel and flexibility.

Essential Job Functions:

  • Help prepare presentations, sales collateral, event materials, and internal communications.
  • Conduct basic research on industry trends, competitors, and customer insights to support campaign strategy.
  • Assist with CRM updates, lead intake processes, and general data maintenance.
  • Handle the ordering of flyers, brochures, branded swag, apparel, and all promotional materials for events, campaigns, and company-wide initiatives.
  • Coordinate with vendors, photographers, and suppliers to ensure timely delivery and quality control of all marketing-related orders.
  • Track incoming and outgoing promotional items, maintaining accurate quantity of records for each office location.
  • Provide scheduled updates regarding order status, delivery timelines, and inventory levels.
  • Ensure all materials align with branding guidelines and approved messaging.
  • Assist with event logistics such as goody bag assembly, event folder preparation, registration setup, and on-site support.
  • Capture high-quality photos during events, training sessions, and company activities for use in digital and print marketing content.
  • Ensure all event assets and materials are delivered on time and meet brand standards.
  • Manage and maintain the Marketing Manager’s calendar, including meeting scheduling, calls, deadlines, and reminders.
  • Organize digital files, documents, and project folders within Monday.com and Internal Drive.
  • Prepare meeting agendas, take notes, and track follow-up items.
  • Assist with purchase orders, vendor contracts, budget tracking, and invoice processing.
  • Gather data related to marketing campaigns, events, and vendor performance.
  • Assist in compiling analytics for reports, presentations, and planning reviews.

Executive Assistant Support:

Qualifications:

  • Strong organizational and project management skills for coordinating events, tracking inventory, managing calendars, and maintaining digital files.
  • Ability to create and support marketing materials, including presentations, sales collateral, event assets, and internal communications.
  • Basic research skills to gather industry, competitor, and customer insights.
  • Experience with CRM updates, data entry, lead intake processes, and general data maintenance.
  • Vendor coordination skills, including ordering promotional materials, managing timelines, and ensuring quality control.
  • Attention to detail to ensure branding consistency across all materials and communications.
  • Event support abilities, including logistics coordination, assembly of materials, registration setup, and on-site assistance.
  • Basic photography skills for capturing high-quality images at events and trainings.
  • Administrative support experience, including scheduling, meeting prep, note-taking, proposal drafting, and budget tracking.
  • Professional communication skills for interacting with clients, executives, staff, and vendors.
  • Ability to support accounting tasks such as invoice processing, purchase orders, and system entry.
  • Comfortable assisting with office management tasks (supplies, kitchen stocking) and serving as a liaison between executives and employees.

Physical Demands and Work Environment:

  • Regularly engage in sitting, standing, or walking activities.
  • Occasionally handle lifting, carrying, pushing, or pulling items of varying weights.
  • Perform reaching, kneeling, crouching, bending, or twisting motions as needed.
  • Other physical requirements may arise depending on job tasks.
  • Work may be conducted at a desk or workstation situated in confined areas.
  • Experience moderate levels of noise indoors and outdoors.
  • Flexibility to work overtime and occasional weekends as required.
  • Ability to thrive in both team-oriented settings and independently, demonstrating self-motivation and initiative.

Travel:

  • Some travel may be required.

Job Type: Full-time
