What We're Looking For
  • A proven track record of 3 5 years in a luxury hotel or agency environment in a similar administrative, finance coordination or executive assistant role within a marketing or creative department.
  • Strong understanding of financial processes such as purchase requisitions, purchase orders, and goods receipt notes, with the ability to drive invoice workflows effectively.
  • Computer literacy, with mastery of Word, Excel, PowerPoint, and Outlook, while possessing an exceptional knowledge of procurement systems, specifically Ariba.
  • Remarkable time management and multi tasking skills, a proactive nature, coupled with a meticulous eye for detail, ensuring every aspect of the operation is curated to perfection.
  • Mastery in handling confidential information with the utmost discretion, ensuring seamless adherence to privacy protocols and 'FIVE Styled' security standards.
  • Excellent communication and interpersonal skills, leveraging strong verbal and written skills to engage effectively with FIVE Tribe members and stakeholders.
  • A hands on attitude, fueled by a 'Can Do!' spirit.
Key Responsibilities
  • Provides day to day administrative and executive support to the Director of Marketing and senior leaders, ensuring seamless coordination of diaries, travel arrangements, meetings, and correspondence.
  • Prepares internal documentation, presentations, and meeting minutes with precision, maintaining accuracy, confidentiality, and 'FIVE Styled' attention to detail.
  • Acts as the central point of contact for all internal and external communication within the Marketing Team, ensuring information is shared efficiently.
  • Supports the coordination of marketing shoots, events, and campaigns by managing logistical and administrative requirements, ensuring flawless execution across all touchpoints.
  • Manages the Marketing Drive and departmental documentation, maintaining well organised archives of assets, contracts, reports and campaign materials.
  • Maintains departmental calendars and project trackers, ensuring key deadlines, campaign launches and reporting cycles are met with precision.
  • Creates and manages purchase requisitions, purchase orders and goods receipt notes using Ariba or other approved procurement systems, guaranteeing process accuracy and compliance.
  • Monitors budgets and tracks expenditure across multiple campaigns and cost centre, ensuring alignment with departmental financial targets.
  • Coordinates closely with the Finance Team to facilitate timely invoice submission, approval and payment, safeguarding smooth financial operations.
  • Maintains an organised log of all vendor payments and supporting documentation for effortless reconciliation, tracking, and audit readiness.
  • Prepares monthly expenditure reports and budget summaries in Excel, including detailed forecasts and variance analyses that support data driven decision making.
  • Liaises with suppliers, agencies and freelancers to collect quotations, monitor deliverables and ensure all administrative and contractual documentation is complete.
  • Supports new vendor onboarding in collaboration with procurement and finance, ensuring all compliance and registration requirements are fulfilled.
  • Maintains a curated database of preferred suppliers, contracts and renewals, ensuring accurate tracking of key dates and deliverables.
