Marketing and Proposal Coordinator

WORK LOCATION

This is a remote position; candidates must reside in the San Antonio, Texas area. Some travel is required for client meetings, networking events, and conferences.

JOB DESCRIPTION

We are seeking a highly organized and detail-driven professional to support our proposal coordination and marketing operations on a part-time basis. This role plays a critical part in keeping our business development efforts running smoothly by managing deadlines, maintaining systems, and ensuring all marketing and proposal materials are accurate, accessible, and high quality. The ideal candidate thrives in structured environments, enjoys building efficient processes, and can bring clarity to complex workflows while effectively managing a part-time schedule.

SCHEDULE

Part-time, approximately 20–30 hours per week, Monday–Friday during standard business hours. Schedule may be flexible based on workload and business needs.

KEY RESPONSIBILITIES

  • Business Development
  • Research potential clients, projects, and teaming opportunities
  • Actively network with industry professionals and attend relevant events, conferences, and meetings to build relationships and generate new business opportunities
  • Support preparation for interviews, presentations, and client meetings
  • Track leads, opportunities, and outcomes (experience using HubSpot is a plus!)

Proposal & Pursuit Management

  • Prepare proposal documents from start to submission
  • Ensure all submissions meet client requirements and deadlines
  • Coordinate with internal teams and external sub-consultants to gather project information, resumes, and graphics for use in proposals
  • Simplify complex data into user-friendly formats such as graphs, charts, and visual aids
  • Maintain strict confidentiality of sensitive information
  • Organize and streamline service offerings into clear, accessible concepts
  • Maintain tracking systems for proposals

Marketing & Communications

  • Create consistent branded marketing materials in print and digital formats (flyers, banners, brochures, social media graphics, website graphics)
  • Support development of marketing initiatives and campaigns
  • Manage print contractors and other promotional vendors
  • Support website updates, social media content, and award submissions
  • Maintain a library of past proposals and firm information

QUALIFICATIONS

  • Bachelor’s degree in marketing, communications, or related field (preferred)
  • Minimum of 2 years of experience in marketing, content management, or proposal coordination
  • Strong organizational skills and attention to detail
  • Ability to manage deadlines and prioritize tasks effectively in a part-time capacity
  • Strong written and verbal communication skills
  • Ability to simplify complex information into user-friendly formats
  • Proficient in Microsoft Office (Word, Excel, Teams, PowerPoint)
  • Proficient in Adobe InDesign and Photoshop
  • Experience with CMS platforms such as WordPress preferred
  • Experience with CRM tools such as HubSpot is a plus

Pay: $30.00 - $45.00 per hour
