Job Overview
The Marketing Assistant role supports patient acquisition, community awareness, and brand trust for a healthcare clinic or service-based medical practice. This role combines local, community-focused marketing initiatives with the management of the clinic’s social media presence, while ensuring all marketing activities align with healthcare regulations, privacy standards, and ethical guidelines.
In this role you will also provide high-level administrative/executive support to individuals such as professional executives, by handling various tasks to help them focus on their core responsibilities.

Hours
Will vary, range between 9:00-7:30pm (max 8 hrs per day) M-F, and some weekends if necessary (max 40 hours per week).
Location
Fairfax & Alexandria areas; some overnight travel required
Duties
- Social Media Marketing (Healthcare-Focused)
- Develop and manage a social media strategy that supports patient education, brand credibility, and community engagement
- Create, schedule, and publish compliant social media content, including educational posts, service highlights, and clinic updates
- Manage daily engagement, including comments and direct messages, in a professional and patient-appropriate manner
- Ensure all content adheres to HIPAA, patient privacy standards, and clinic compliance policies
- Monitor platform trends while maintaining a professional healthcare tone
- Manage paid social media campaigns, when applicable and approved
- Track engagement, reach, and conversion metrics and prepare regular performance reports
- Local & Community Healthcare Marketing
- Plan and execute local marketing initiatives to increase awareness of clinic services and improve patient access
- Build and maintain relationships with local physicians, businesses, community organizations, and referral partners
- Coordinate clinic events, health education initiatives, sponsorships, and community outreach activities
- Manage local advertising efforts, including digital ads, print materials, and community publications
- Maintain and optimize local listings (Google Business Profile, Yelp, healthcare directories)
- Monitor local market trends, referral sources, and competitor activity-Track and report on performance metrics such as inquiries, appointment requests, and campaign ROI
- Administrative Oversight: Assist in overseeing company operations and employees and report findings to executive
- Calendar Management: Organize and manage schedules, appointments, and meetings.
- Communication: Handle incoming and outgoing communications, including emails and phone calls.
- Meeting Coordination: Prepare agendas, take minutes, and ensure follow-up on action items.
- Travel Arrangements: Plan and coordinate travel itineraries, including flights, accommodations, and transportation, including vacations and family trips.
- Document Management: Prepare, edit, and organize documents, reports, and presentations.
- Budget Management: Assist with tracking and managing budgets and expenses.
- Project Support: Assist in project management and coordination, ensuring deadlines are met.
- Research: Conduct research and compile information as needed for decision-making.
- Client Relations: Maintain relationships with clients and stakeholders, ensuring communication is clear and professional.
- Event Planning: Organize and coordinate corporate events, conferences, and meetings.
- Confidentiality: Handle sensitive information with discretion and confidentiality.
- Daily Errands: Manage personal errands, such as grocery shopping, dry cleaning, cooking, and other tasks. Must be okay with dogs and cats.
- Household Management: Oversee household staff and maintenance, if applicable.
- Bill Management: Manage bills and finances, ensuring timely payments.
- Research and Reservations: Research and make reservations for restaurants, events, and activities.
- Gift and Event Planning: Organize special occasions, including birthdays, anniversaries, and holidays.
- Communication Management: Handle correspondence and communication, including mail and messages.
- Time Management: Help prioritize tasks and manage time effectively to balance professional and personal commitments
- Miscellaneous Tasks: Assist with any additional tasks as needed, tailored to the individual’s lifestyle and preferences.

Requirements
- Proven experience in a similar role is required
- Must have valid Driver's License, Proof of Insurance and reliable transportation
- Proficiency in project coordination and multitasking
- Strong data entry skills with attention to detail
- Excellent proofreading abilities
- Ability to manage calendars effectively
- Familiarity with QuickBooks is a plus
- Experience in administrative front desk and back office operations is advantageous
- Knowledge of event planning principles is beneficial
- Some overnight travel may be required
- Bachelor's degree required
- 2+ years of experience in healthcare marketing, local marketing, or social media marketing
- Familiarity with healthcare compliance, patient privacy, and ethical marketing standards
- Experience managing social media accounts for a clinic, medical practice, or service-based business
- Strong written communication skills with an emphasis on clarity and professionalism
- Highly organized with the ability to manage multiple initiatives simultaneously
- Comfortable analyzing performance data and adjusting strategies accordingly
- Experience marketing healthcare services, clinics, or professional services
- Knowledge of HIPAA-compliant marketing practices
- Experience with local SEO, SEM and healthcare directories
- Basic graphic design or short-form video editing skills
- Event marketing or community outreach experience
Compensation
$20.00-$25.00 starting
1099 Contractor
Pay: $20.00 - $23.00 per hour
