About the Role

We’re looking for a highly organized, proactive Marketing & Business Operations Specialist to support our marketing and administrative team as well as help manage daily operations in our Seattle office.

This entry-level role blends marketing project coordination, office administration, and event support. You’ll play a key role in keeping marketing initiatives on track, maintaining smooth day-to-day operations, and creating a welcoming, efficient workplace for our team and visitors.

It’s a great opportunity for someone early in their career who’s excited to gain experience in marketing operations and business administration within a fast-moving, collaborative environment.

Key Responsibilities

Marketing Coordination & Project Support:

  • Help coordinate marketing projects across events, demand generation, brand, PR/AR, web, and content.
  • Build and maintain project plans and timelines in Asana (or similar tools).
  • Track deliverables, follow up on tasks, and ensure deadlines are met.
  • Maintain version control and organization for marketing collateral, creative assets, and documentation.
  • Support marketing reporting and help prepare updates or dashboards that summarize activities and outcomes.

Event & Program Coordination:

  • Assist in planning and executing marketing programs, webinars, tradeshows, and internal events.
  • Coordinate shipping, logistics, and materials for in-person events.
  • Support post-event wrap-up, including reporting, surveys, and recaps.
  • Partner with vendors and cross-functional teams to ensure smooth execution.

Office & Administrative Support:

  • Serve as the in-office point of contact for visitors, vendors, and deliveries.
  • Keep the office organized and stocked with supplies, materials, and event items.
  • Coordinate onsite logistics, catering, and meeting support for team events and visitors.
  • Manage parking validations, mail, and building/vendor relationships.
  • Process purchase orders, invoices, and expense reports.

Qualifications

  • 1–3 years of experience in marketing coordination, office administration, or business operations.
  • Strong organizational skills and attention to detail; able to juggle multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Workspace and familiarity with tools like Asana
  • Interest in marketing, events, and project management.
  • Positive, proactive attitude and eagerness to learn and take initiative.
  • Must be able to work onsite in our Seattle office four days per week.

Job Type: Full-time

Pay: $58,000.00 - $65,000.00 per year
