As a Marketing Coordinator at Klingner, you'll work alongside an experienced group to produce proposals and qualifications packages that win real projects across the Midwest. If you’re a person who reads carefully, enjoys collaborating with others, writes and develops with intention, and shows initiative, our Marketing Department may be the place for you.

Responsibilities:

  • Work with marketing staff, firm leadership, and senior staff to design, write, and produce proposals, presentations, and other marketing materials in alignment with Klingner’s brand standards.
  • Analyze RFPs and RFQs to identify client priorities, evaluation criteria, and strategic win themes.
  • Write and edit project narratives, firm overviews, approach sections, and other proposal content with clarity and persuasion that feature Klingner’s capabilities, expertise, and unique selling points.
  • Track proposal schedules, coordinate internal reviews, and ensure on-time submission.
  • Collaborate with project managers and technical staff to gather content, validate accuracy, and capture relevant experience to develop resumes, project sheets, blog posts, social media, handouts, and white pages.
  • Maintain and continuously improve a library of proposal boilerplate, project descriptions, resumes, and reusable content.
  • Copy edit and proofread written text provided by colleagues.
  • Support asset and data tracking to ensure pursuit records, project history, contact information, etc. are current and accurate.
  • Assist in developing and maintaining department templates and standardized formats firmwide.
  • Write and / or support content for blogs, project spotlights, case studies, and web copy that translates technical work into compelling stories.
  • Assist in preparation of presentation materials, including PDF presentations, PowerPoint files, and graphic layouts.
  • Assist in coordination of professional staff resume updates.
  • Complete photography assignments to keep assets current, including taking photos of projects and staff, editing pictures, and organizing files.
  • Handle outside requests of a general promotional nature from clients, consultants, etc., including the development of advertisements.
  • Develop social media strategies and content.
  • Create and maintain website content.
  • Know Klingner’s evolving portfolio of work, departments, and service offerings.
  • Travel to complete assignments as necessary.
  • Support additional marketing team needs as assigned.

NOTE: Opportunities for career growth are based on personal initiative, commitment to developing strategy-based content, and ability to directly influence the success of our marketing programs.

Qualifications:

  • 1–5 years of experience in a marketing, communications, or proposal coordination role — A/E/C or professional services experience is a strong plus.
  • Bachelor’s Degree in English, Communications, Journalism, Marketing, Business, or related field.
  • Exceptional writing, editing, and proofreading ability.
  • Strong verbal communication skills.
  • Ability to craft a story in a compelling manner, including creating effective presentations and marketing collateral.
  • Experience delivering significant marketing projects, coaching colleagues for presentations, and working closely with leadership and other senior staff on marketing strategy and deliverables.
  • Ability to balance competing deadlines and shifting priorities without losing quality.
  • Strong project management instincts with the ability to self-direct and follow through on assigned individual tasks with limited supervision.
  • Ability to collaborate with a group to complete assigned projects.
  • Strong ability to organize and track a wide range of information and activity from varying sources and access that information as needed.
  • Experience with or interest in proposal production processes (RFP/RFQ response, SF 330s, SOQs).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) required.
  • Working knowledge of Adobe InDesign, Photoshop, Lightroom, and Illustrator or a willingness to learn.
  • Experience with Salesforce or comparable CRM tools is a plus.
  • Familiarity with social media platforms, content development, and scheduling tools is a plus.

What Success Looks Like:

  • You write first drafts that show real effort and improve meaningfully with feedback.
  • Project managers enjoy working with you because you make the process feel manageable.
  • You're proactively contributing to the content library as you learn the firm's work.
  • By the end of your first year, you're supporting proposals with growing independence and moving toward leading them on your own.

To be considered, please submit two writing samples in PDF format. If you have samples of page formatting and / or graphic design, please also include them with a note as to what software you used.
