Marketing Coordinator

The Marketing Coordinator will be GVSA’s strategic and operational catalyst for securing new work and strengthening our market presence. From kickoff to submission, you will shepherd opportunities, ensure compliance with solicitations, and align schedules and responsibilities across internal teams and external collaborators. You’ll translate GVSA’s design strengths into compelling narratives, tailored project examples, and polished production, managing writing, graphics, formatting, and the final presentation to preserve a consistent, high-caliber brand. Beyond proposals, you will shape GVSA’s external story through brochures, project sheets, presentations, digital content, and timely communications, while monitoring opportunities, targeting clients, and coordinating teaming and events. You’ll oversee marketing resources, content libraries, and print production, and contribute to the firm’s awards and recognition efforts. The ideal candidate is proactive, highly organized, and adept at balancing strategic thinking with hands-on execution, coordinating multiple teams and tight deadlines to elevate GVSA’s reputation and win rate.

RESPONSIBILITIES

  • Lead RFQ/RFP pursuits from kickoff through submission, shaping strategy and content to position GVSA competitively
  • Review solicitation requirements to ensure comprehensive compliance and alignment with project objectives
  • Coordinate internal teams and external consultants to deliver cohesive, high-quality proposals
  • Apply advanced technical writing skills to craft precise, persuasive narratives
  • Oversee proposal graphics, formatting, layout consistency, and final production to maintain a polished, brand-consistent output
  • Prepare interview presentations and shortlist materials; support interview coordination and rehearsal for smooth delivery
  • Maintain and evolve branding standards across marketing materials to protect a cohesive firm identity
  • Develop brochures, qualifications packages, project sheets, and presentations that articulate GVSA’s capabilities
  • Support digital marketing efforts and social media content development
  • Manage graphics and visual communication assets across all firm communications
  • Assist with website updates, announcements, and broader firm communications
  • Maintain consistency of firm messaging across platforms
  • Monitor procurement websites to identify upcoming opportunities and inform pursuit strategy
  • Coordinate consultant outreach and teaming efforts
  • Participate in professional organizations to amplify the firm’s presence
  • Support conference, networking, and event preparation
  • Maintain proposal templates, resumes, project descriptions, and marketing resources
  • Manage multiple deadlines and priorities simultaneously

QUALIFICATIONS

  • Bachelor’s degree in Marketing, Communications, Graphic Design, Journalism, Architecture, or related field (preferred)
  • 5+ years of marketing/proposal experience within the AEC industry (preferred)
  • Strong proposal management and organizational skills
  • Excellent writing, editing, and communication abilities
  • Strong graphic/layout sensibility and meticulous attention to detail
  • Comfortable working in a collaborative, deadline-driven environment
  • Software experience: Adobe Creative Suite required (InDesign, Photoshop, Illustrator); Proficient in Canva, Microsoft Office Suite, Cosential/Unanet CRM (or similar); AI software is a plus

Pay: $60,000.00 - $90,000.00 per year
