The Marketing Executive Assistant supports the Chief Marketing Officer in addition to supporting departmental and firm projects. This is a hands-on role requiring the ability to multi-task and properly coordinate various tasks/projects while preserving excellent time management and client service. The role serves important functions in assisting the CMO of the Firm, and that is assists the Marketing Department at large, as well as the Firm’s internal/external clients and extended network of contacts nationwide. The position works closely with the marketing team, as well as with other departments throughout the firm generally.
Duties and Responsibilities:

- Assistance with scheduling internal and external meetings and coordinating logistics.
- Coordination of promotional products and related inventories, as well as distribution of promotional item requests.
- Producing and ordering promotional items working with outside third-party vendors.
- Shipping/Receivables/Print job(s) coordination including coordination with office services as needed.
- Maintenance, credit card reconciliation and tracking of CMO, Director and the Marketing team’s expenditures.
- Responsible for the administrative accounting tasks for the department including but not limited to expense reports and accounts payable.
- Coordinate with Accounting team to ensure timely processing of invoices and expenses.
- Onboarding support including coordination of headshots with third-party vendors.
- Support the development and execution of social media strategy in collaboration with the Marketing Director and CMO.
- Create and design marketing and social media assets using Canva, demonstrating strong visual design skills and brand alignment.
- Post and manage marketing and social media updates across platforms as directed. Assists with large marketing projects/initiatives as needed.
- Other projects as assigned.
