Marketing Operations Coordinator

Overview

The Marketing Operations Coordinator position at Zoot supports our Marketing, Sales, and Client Experience teams by providing administrative assistance. This position is critical to keep communications organized, manage daily calendar including scheduling meetings, developing agendas for team meetings, and confirming appointments. The individual in this position will prepare reports, coordinate travel and oversee overall Marketing admin operations, and provide support as needed to Director of Sales, Partners, and Client Experience. The person in this position will play a key role in analyzing data, streamlining workflows, and improving collaboration across teams to ensure strong operational processes and actionable insights. The ideal candidate will be a self-starter with strong self-management skills, a strategic mindset and previous experience in administrative roles.

Essential Job Functions

  • Assist in the development, management, and leadership of Zoot’s meeting cadence to include agendas, notes, KPI and deliverables tracking, reporting processes, and meeting management.
  • Coordinate with Operations Officers on leadership meetings’ (where revenue/growth is involved) regarding meeting agenda and run through.
  • Assist in the management of the Director of Marketing’s professional schedule which includes organizing complex activities and events.
  • Serve as a travel coordinator, booking flights accommodations and ground transportation for company personnel.
  • Organize and manage marketing events such as seminars, tradeshows, workshops, and conferences.
  • Maintain and update all marketing files (physical and digital).
  • Maintain accurate documentation of processes and workflows to ensure transparency and consistency.
  • Post Zoot marketing related news and updates via internal and external channels.
  • Assist with marketing programs and/or software migrations when needed.
  • Act as a central point of coordination between Marketing, Sales, Partners, and Client Experience teams to ensure alignment on goals, strategies, and execution.
  • Act as a marketing liaison to HR on joint functionalities including but not limited to preparing recruitment materials, Career Fairs, and candidate attraction activities.
  • Assist in the development of Zoot’s marketing strategic plans and annual goals.
  • Assist in identifying and developing process improvements across all of Zoot’s marketing operations.
  • Develop executive level communication for internal and external stakeholders to include email, memorandum, briefs, pitches, and company-wide presentations.
  • Keep management informed by preparing reports, presentations, interpreting information, and making recommendations.
  • Ensure compliance with data privacy regulations (e.g., GDPR, CCPA) and internal data governance policies.
  • Know and comply with Zoot’s Policies and Procedures, Code of Business Conduct, and Employee Agreement.
  • Other duties as assigned – it is understood that this list of major duties and responsibilities is not an inclusive list and that other duties and responsibilities, which may include helping others in the same or different departments, may be assigned by supervision.
  • Conduct group centralized purchasing, expense report creation, budget tracking.

Qualifications & Desired Experience

  • Proficiency in data analysis and reporting tools (e.g., Excel, Tableau, Power BI, or similar).
  • Exceptional organizational and project management skills, with the ability to manage multiple priorities.
  • Strong communication and collaboration skills to work effectively with cross-functional teams.
  • Problem-solving mindset with a focus on process improvement and scalability.

Education, Training, and Experience Requirements

This position requires a High School Diploma and 0-3 years of previous administrative experience or an equal combination of education and experience.

Working Conditions

This position will take place primarily in an office setting and may require travel 10% of the time. The Marketing Operations Coordinator position is fast paced and ever changing, requiring flexibility, self-initiative, and regular management of changing priorities. Occasional nighttime and weekend work is required within the position.

Work Hours and Location

It is expected that employees, and specifically this position, regularly and consistently report to work on-site at Zoot’s headquarters and work between 40-45 hours per week. This will include working during Zoot’s “Core Hours” which are between 9am-4pm Mountain Time Monday-Friday.
