Marketing / Proposal Manager

We are seeking a highly organized and execution-focused Marketing / Proposal Manager to lead and manage all marketing and proposal efforts for the company. This role functions similarly to a project management position within the marketing and business development environment—driving plans, schedules, workflows, and deliverables to support company growth.

POSITION SUMMARY

The Marketing / Proposal Manager is responsible for organizing, managing, and executing all marketing and proposal initiatives from kickoff through completion. This individual translates leadership’s strategic direction into structured plans and actionable tasks, ensuring alignment, accountability, and timely delivery of high-quality proposals and marketing materials.

This is a hands-on leadership role requiring strong coordination skills, attention to detail, and the ability to manage multiple concurrent deadlines in a fast-paced construction environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Marketing & Proposal Workflow Leadership
  • Convert executive marketing and business development priorities into structured plans, schedules, and task assignments
  • Lead the full lifecycle of proposals and marketing initiatives from pursuit identification through final submission
  • Coordinate responsibilities and approvals across leadership, estimators, operations staff, and external partners
  • Track progress, manage deadlines, and proactively remove roadblocks
  • Develop and maintain templates, checklists, timelines, and standardized workflows
  • Proposal & Pursuit Management
  • Analyze RFPs/RFQs and prepare clear summaries, compliance matrices, and task assignments
  • Manage development of SOQs and proposals including writing, editing, layout coordination, graphics, and final production
  • Ensure accuracy, responsiveness, and brand consistency
  • Maintain and update project sheets, resumes, photography, past proposals, and pursuit libraries
  • Collaborate with field and technical staff to develop strong differentiators and project narratives
  • Marketing Assets & Digital Presence
  • Oversee creation and maintenance of brochures, presentations, branded materials, and event collateral
  • Ensure all materials align with company brand standards and messaging
  • Manage website content updates and strategic messaging
  • Oversee social media planning and content development
  • Coordinate external designers, photographers, and other specialists as needed
  • Systems & Reporting
  • Manage and maintain the Unanet CRM system to support accurate pursuit tracking and reporting
  • Maintain marketing databases, asset libraries, and internal reference materials
  • Provide leadership with regular updates on workload, deadlines, and project status
  • Events & Industry Presence
  • Organize and prepare materials for conferences, seminars, career fairs, and recruiting events
  • Represent the company at industry events as needed
  • Gather market intelligence to support business development efforts

EDUCATION AND EXPERIENCE

  • 7+ years of marketing and/or proposal management experience, preferably within the A/E/C or construction industry
  • Experience with qualification-based procurement processes including CMAR, JOC, Design/Build, RFP, RFQ, and SOQ
  • Bachelor’s degree in marketing, communications, business, or equivalent experience

REQUIRED SKILLS AND ABILITIES

  • Strong organizational and planning skills with the ability to manage multiple concurrent deadlines
  • Ability to break complex initiatives into actionable steps and drive accountability
  • Advanced writing and editing skills for technical and marketing content
  • Strong cross-functional coordination and communication skills
  • Proficiency in Adobe Creative Suite and Microsoft Office
  • Strong attention to detail and commitment to quality
  • Self-driven, proactive, and dependable

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to lift up to 15 pounds as needed
