Join our Marketing Team!
Indian River State College is seeking a detail-oriented and collaborative Marketing Specialist to support the execution of college-wide marketing initiatives. In this role, you’ll help keep projects on track by managing timelines, coordinating workflows, and ensuring smooth communication across departments. This is a hybrid role with 3 days in the office and 2 days remote.

JOB SUMMARY:
Under direct supervision, this position supports the efficient execution of marketing initiatives across Indian River State College marketing team. Responsibilities include managing timelines, coordinating projects, and providing essential administrative support. Serves as the operational backbone of the Marketing and Strategic Communications team ensures smooth collaboration, timely delivery of materials, and accurate documentation of all marketing-related activities.
SPECIFIC DUTIES AND RESPONSIBILTIES:
  • Coordinate timelines, task assignments, and approvals workflow for marketing projects including campaigns, events, digital content, publications, and promotions.
  • Serve as project liaison across departments, maintaining clear and proactive communication with stakeholders and internal creative teams.
  • Track and manage the intake, prioritization, and scheduling of marketing requests, ensuring alignment with institutional priorities and brand standards.
  • Maintain and update project management tools and dashboards to monitor deadlines, deliverables, and team workload.
  • Assist in compiling campaign performance reports, summaries, and presentation materials.
  • Support vendor coordination, including processing purchase requisitions, and invoice in collaboration with department leadership.
  • Organize and maintain digital files, marketing calendars, and archives of creative assets and project documentation.
  • Provide administrative support to the Associate Vice President of Brand Experience, including scheduling, meeting preparation, and logistics.
  • Assist with on-site marketing logistics and presence at events, as needed.
  • Completes all other duties and responsibilities as assigned
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
  • Associate degree in marketing, communications, business, or a related field; Bachelor’s degree preferred.
  • Minimum of two (2) years of professional experience in marketing coordination, project management, or administrative roles—experience in higher education or agency settings is a plus.
  • Proficiency with project management tools (e.g., Asana, Trello, Monday.com, or equivalent) and Microsoft Office or Google Workspace.
  • Strong organizational and time management skills with the ability to manage multiple projects and deadlines.
  • Excellent verbal and written communication skills.
  • Strong attention to detail, accuracy, and follow-through.
  • Collaborative and solutions-oriented mindset, with a positive attitude and a willingness to learn
  • Ability to adapt to changing priorities and work independently with minimal supervision highly organized, detail-oriented, and thrives in a fast-paced, team-driven environment
Preferred Qualifications:
  • Experience working in a marketing, communications, or creative environment.
  • Familiarity with marketing concepts and terminology, including digital and print production workflows.
  • Basic understanding of higher education environments, stakeholders, and priorities
PHYSICAL DEMANDS:
This position requires an ability to sit and stand for extended periods of time and to present oral lectures/demonstrations, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. Some lifting of computer and electronic equipment may be required. It also requires manual dexterity to operate standard office machines, such as, copier, fax, calculator, telephone, and other equipment as necessary.
