MATERIALS OFFICER

Summary

Duties and responsibilities related to the Materials Officer role:

  • Source, evaluate, and negotiate with local and international suppliers to secure the best quality products, equipment, and services at competitive prices for all hotel departments (F&B, Housekeeping, Engineering, etc.).
  • Process approved Purchase Requests (PRs) and generate Local Purchase Orders (LPOs) accurately and efficiently using the hotel's designated procurement system (e.g., BirchStreet, Oracle, or Sun Systems).
  • Collaborate closely with the Head Chef and Food & Beverage team to procure daily market list items, fresh produce, and specialty ingredients, ensuring they meet the hotel's strict quality and hygiene standards.
  • Conduct regular market surveys within Qatar to monitor price fluctuations, identify new products, find alternative suppliers, and uncover cost-saving opportunities.
  • Maintain a comprehensive and up-to-date supplier database, tracking vendor performance, delivery reliability, pricing agreements, and contract expiration dates.
  • Liaise with the Receiving and Storekeeping teams to ensure incoming deliveries match the LPO specifications, and promptly resolve any discrepancies regarding quantity, quality, or damaged goods directly with the suppliers.
  • Assist the Materials Manager or Director of Finance in tracking departmental spending against approved budgets and preparing monthly procurement and savings reports.
  • Ensure all purchasing activities strictly comply with the hotel's internal financial audit policies, ethical sourcing guidelines, and local Qatari trade and import regulations.


Qualifications

Education: Bachelor’s degree or Diploma in Supply Chain Management, Business Administration, Finance, or a related field.
Experience: Minimum of 2–3 years of purchasing or procurement experience, preferably within a 5-star luxury hotel or large hospitality group in the GCC.
Technical Skills: Strong proficiency in hospitality procurement software (such as BirchStreet, FMC, or Oracle) and advanced skills in Microsoft Excel.
Key Attributes: Excellent negotiation and relationship-building skills, impeccable integrity and ethical standards, and the ability to work efficiently under pressure to meet tight operational deadlines.
