Primary Responsibilities:

The Medical Assistant is responsible for supporting the day-to-day operations of our psychiatric providers by performing administrative and medical assistant tasks and ensuring high quality customer service for our clients.

Strong attention to detail is a necessity in this position. A desire to get to know our patients in order to provide the best patient care possible is highly encouraged. And the organization to track and complete pending tasks is crucial for success.

You should be able to multitask and prioritize with accuracy, handle sensitive information confidentially, and foster a whole team approach to client care while working directly with our clients, behavioral healthcare providers, co-workers, and other behavioral health facilities.

Essential Functions:

The Psychiatric Medical Assistant’s duties shall include but are not limited to:

1. Learning and becoming familiar with agency’s Electronic Healthcare Record system (DrCloud)

2. Maintain psych schedule by ensuring schedule is full and eliminating gaps as much as possible, schedule follow up appointments as needed, and reschedule appointments according to Psychiatric Treatment Contract.

3. Assist the psychiatric providers in medical assistant duties such as taking and entering vitals, performing and entering drug screens in DrCloud, escorting patients and parents to the psychiatric practitioner’s office in a timely manner, typing medication instructions as requested, and being available for any other Psych or Psych Patient needs that might arise.

4. On days that Psych Providers are here, being aware of their schedule and scheduled appointments. Be available/at your desk during appointments in case needs arise.

5. Administering pre-appointment drug screens per Psychiatric Patient policies, scheduling drug screens for the day before a psych appointment if appointment is over telehealth, entering drug screen note in DrCloud, and promptly providing results to the psych provider(s).

6. Translating medical notes or medication instructions promptly and accurately for Spanish speaking patients when requested by the provider. Uploading those directions in AWARDS (with appropriate title and date of psych appointment) and creating a non-billable note stating that you provided Spanish instructions and uploaded to DrCloud.

7. Assisting with Suboxone induction sessions as needed including: picking up medication from the pharmacy and turning in receipt promptly, monitoring patients and vitals throughout induction appointment, educating patient about naloxone and providing them kits.

8. Completing medication prior authorizations as needed.

9. Resolving pharmacy issues on behalf of client.

10. Prepare treatment updates and send to the provider (with Psych manager and Director of Operations on copy) on the day before their appointments – to include client demographics, recent treatment update obtained from counselor, most recent drug test results, any screening tool scores performed prior to the appointment, and results from checking the PMP. Treatment Updates should be 100% complete and Attention to Detail is imperative on these.

11. Pre-enter psych notes for all scheduled and cancelled appointments first thing in the morning according to template for psych notes.

12. Entering screening notes (COWS, PHQ9 & GAD, Lv 1 Cross Cutting, MDQ, Columbia, WHODAS, etc) into DrCloud on the day of appointment and making sure the provider signs it while they are in the office.

13. Ensuring client diagnoses are up-to-date (based on new diagnoses from provider notes) in the Diagnoses module in DrCloud

14. Placing online lab orders for clients when requested by the provider; calling and confirming it has been completed with patients at least one week before their next scheduled appointment to ensure lab work was done. Uploading results in provider’s folder and DrCloud, and ensure provider has them for their appointment.

15. Assisting with GeneSight testing, helping clients who need financial assistance for GeneSight testing fill out the proper forms and send in with test, ordering GeneSight kits, and entering test orders on the GeneSight website.

16. Advocating for clients regarding criminal justice issues, health, and general well-being

Knowledge, Skills, Personal Characteristics:

1. High School diploma required; Certification in medical assisting is a plus.

2. Two (2) years’ experience in general office procedures.

3. Ability to read, write, and speak English

4. Knowledge of medical terminology and pharmacy operations.

5. Hands on experience with medical electronic record software and Microsoft Office.

6. Outstanding organizational and multitasking skills.

7. Ability to work independently and prioritize multiple tasks effectively.

8. Strong attention to detail.

9. Excellent customer-oriented written and verbal communication skills.

10. Able to maintain confidentiality and adhere to HIPAA and 42 CFR Part 2 confidentiality requirements pertaining to client protected health information.

Job Type: Full-time

Pay: $24.00 per hour
