Position Summary
The Medical Assistant (MA) plays a vital, hands-on role in supporting both the clinical and operational functions of monarc, LLC—an inclusive outpatient mental health practice serving children, adolescents, and adults with intellectual and developmental disabilities (I/DD), autism, other neurodiverse conditions, and the general public.
In addition to supporting providers with daily clinical workflows, the Medical Assistant is directly involved in clinical care activities including obtaining and documenting vital signs, performing point of care and point of service laboratory collections, preparing medications, administering injections as directed, and supporting medication management. The MA also plays a critical role in care coordination through prior authorizations, referrals, and follow up with pharmacies, payers, providers, clients, and families.
This role requires a compassionate, trauma informed, and neurodiversity affirming approach, strong attention to detail, and the ability to cross train to support front desk and intake functions to ensure continuity of operations and an excellent client experience.
Key Responsibilities
Direct Clinical Care & Patient Support

Obtain, measure, and accurately document vital signs and relevant clinical data in accordance with provider direction and clinical protocols.

Perform point of care and point of service laboratory collections following infection control and safety standards.

Prepare medications and administer injections under the direction of licensed providers and within the scope of practice.

Support medication management workflows, including reconciliation of medications, coordination with pharmacies, and monitoring needed follow up.

Prepare clients for psychiatric and therapy appointments using a calm, respectful, and trauma informed approach.

Adapt communication style, pace, and environment to meet the sensory, cognitive, and emotional needs of neurodiverse individuals.

Assist providers with clinical session preparation, room setup, and post appointment follow up tasks.
Care Coordination, Prior Authorizations & Follow Up

Manage prior authorizations for psychiatric medications, injections, and referred services, including compiling documentation, submitting requests, tracking approvals, and communicating outcomes.

Coordinate referrals to external providers and specialty services, ensuring authorization and payer requirements are met.

Conduct follow up outreach to clients, families, caregivers, pharmacies, and referral partners to ensure continuity of care.

Communicate clearly, respectfully, and compassionately with clients and support persons regarding next steps in care.
Clinical Documentation & Compliance

Maintain accurate, timely, and complete documentation in the electronic health record (EHR).

Ensure compliance with HIPAA, confidentiality standards, payer requirements, and organizational policies.

Maintain a safe, organized, and welcoming clinical environment, with attention to sensory and accessibility needs.
Front Desk & Administrative Cross Training

Provide cross coverage for front desk operations as needed, including answering phones and responding to inquiries.

Schedule appointments and manage provider calendars with attention to accessibility and client preferences.

Support intake processes, including demographic, insurance, and consent documentation.

Verify insurance coverage and assist with time of service collections, including copays and outstanding balances.

Collaborate closely with providers and support staff to support efficient practice workflows.
Client & Family Engagement

Interact with clients, families, and caregivers with empathy, patience, and professionalism.

Qualifications
Required
-
Medical Assistant certification or equivalent relevant training/experience.
-
High School Diploma or GED.

Experience working in a medical, mental health, or behavioral health setting.

Strong organizational, communication, and interpersonal skills.

Comfort working with individuals with disabilities and diverse support needs.

Proficiency with EHR systems and basic computer applications.

Ability to multitask, prioritize, and adapt in a fast paced environment.
Preferred

Experience working with individuals with I/DD, autism, or other neurodiverse conditions.

Experience with injections, point of care testing, and medication prior authorizations in an outpatient setting.

Experience in outpatient mental health or behavioral health environments.
