Medical Billing Specialist & Front Office Coordinator

Job Summary
We are seeking a high-energy, detail-oriented Medical Billing Specialist & Front Office Coordinator to join our team. In this dual-impact role, you will work directly with the Billing Manager to oversee the full revenue cycle while joining our team of "Client Advocates” for our patients. You will be the expert on insurance authorizations (including Kaiser), and a steward of a welcoming and efficiently running clinic environment.

Key Responsibilities

Billing & Revenue Support (In collaboration with Billing Manager)

  • Full-Cycle Billing: Execute electronic billing via Tebra, including sending claims, posting payments, and generating patient statements.
  • A/R & Insurance Liaison: Proactively work Accounts Receivable and communicate with insurance companies to resolve denials and outstanding claims.
  • Authorization Management: Expertly track, collect, and update Kaiser authorizations and referrals; maintain the Authorization Spreadsheet for Speech, OT, and Mental Health.
  • Compliance: Maintain strict HIPAA compliance in all data entry and patient communications.

Front Office Coordination & Client Advocacy

  • Patient Concierge: Welcome and check in patients with enthusiasm; manage multi-line phones and emails as the first point of contact.
  • Intake Management: Guide new clients through our treatment model and payment policies; ensure all intake paperwork is 100% complete in the EMR.
  • Eligibility & Collections: Verify insurance benefits (copays/deductibles) and run daily client payments with precision.
  • Clinic Stewardship: Maintain a clean, professional "waiting room experience" (music, supplies, tidying) and manage office supply ordering.
  • Provider Support: Assist the clinical team with accurate scheduling and troubleshoot office operational issues as they arise.

Qualifications

  • Experience: 2–5 years of specific medical billing experience is required.
  • Technical Skills: Proficiency in Tebra or similar Electronic Practice Management systems is highly preferred.
  • Critical Thinking: Ability to navigate complex insurance requirements and troubleshoot billing discrepancies independently.
  • Multitasking: Mastery of balancing administrative clerical tasks with high-volume patient interaction.
  • Patient Friendliness: A warm, empathetic communication style that makes clients feel comfortable and informed.
  • Detail Obsession: Extreme accuracy in data entry for new client files and insurance billing info.

Pay: $28.00 - $30.00 per hour
