Medical Courier Coordinator, Lab Medicine & Pathology

Who we’re looking for:

The UW Medicine - Department of Laboratory Medicine & Pathology (DLMP) in Seattle, WA has a fantastic opportunity for a Medical Courier Coordinator at the University of Washington Medical Center – Montlake, & Central Lab – Renton

The primary function of the Medical Courier Coordinator is to receive and facilitate requests between clients and the courier team, provide administrative support for the team, and communicate program updates to the courier, CSS, and other impacted teams. The administrative function for this role will be focused on office‑related activities. The role will allow courier leadership to focus on core programs, projects, and strategy‑related activities that support courier operations, providing a positive impact on UWMC patients and the division’s internal and external clients. Additionally, this position supports the bandwidth of the Medical Courier Leads through daily support, ongoing training, opportunities for route and transportation improvement, and backup driving. This position will have autonomy and independent decision‑making for the tasks assigned to them.

Work schedule:

  • 100% FTE
  • Monday – Friday with rotating weekends and holidays
  • Day shift, Occasional remote work

What you’ll contribute:

Communications and Dispatching

  • Conduct communication between the courier team and our internal and external partners.
  • Help manage operational communications to clients, including notification of service interruptions/impacts and policy changes.
  • Per request of the Manager, Supervisor, and Program Operations Specialist, communicate relevant information between different UWMC departments and external clients.
  • Research, write, and edit content to explain and promote the work of the UWMC courier team; create and send courier team internal newsletters.
  • Ensure consistent tone and messaging that is in alignment with University standards, vision and values.
  • Monitor for courier-call outs and schedule changes.
  • Call upon back-up couriers to cover routes as needed.
  • Answer department telephones and central email requests.
  • Primary point of contact to resolve client questions and issues by phone/email, otherwise re-direct to supervisor or other team staff as needed.
  • Contact couriers to schedule pickups and drop offs.
  • Manage Delivery Express and other third-party courier companies to schedule pickups.
  • Assist leadership with the scheduling of candidate phone screens and interviews

Scheduling & Payroll

  • Update the courier team’s weekly staffing schedule.
  • Assist leadership with bi-annual vacation bids.
  • Input and reconcile Kronos weekly timekeeping.

Administrative

  • Monitor all courier Kronos clock-ins and ensure staff are starting shifts on time; produce regular clock-in reports for the supervisor(s).
  • Independently perform complex administrative support functions with delegated authority from departmental or unit management.
  • Develop new office or administrative procedures using research and analytical techniques; ensure team is following office procedures.
  • Supports the continued use and operation of office equipment (copier, computers, printer, and fax machine).
  • Procure and monitor courier vehicle parts and supplies (light bulbs, windshield wipers, wiper fluid, cleaning supplies).
  • Schedule team meetings.
  • Assist in writing and editing statements of administrative guidelines and policy.
  • Participate in courier recruiting efforts (resume reviews, phone screens, interviews).
  • May be called upon to drive UW vehicles and provide back-up courier services as needed.
  • Other duties as assigned.

What you’ll need:

  • High school graduation or equivalent AND two years of experience in the program specialty.

  • Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Departmental Requirements:

  • Prior work experience in transportation, operations or logistics.
  • Proficient with Microsoft Windows and Office Suite (including Word, Excel, and Outlook)

  • Proficient with the use of cell phones and mobile devices.
  • Excellent written and verbal communication skills.
  • Excellent customer/client-facing skills.
  • HIGHLY organized, detail-oriented, and able to multi-task in a fast-paced and sometimes stressful environment.
