Medical Executive Administrative Assistant

Patient's Choice Lab is seeking a highly motivated, detail-oriented Executive Administrative Assistant to join our core team in our Tempe, AZ admin building. This role is ideal for a driven professional looking to gain exposure to medical client services, project management, and sales assisting within one of the fastest-growing industries.

As a key administrative partner to leadership, this individual will collaborate with the administrative leadership team on high-impact projects that require a high attention to detail and strong computer skills. This individual will also assist with patient and provider communication and resource development, all while helping maintain our commitment to responsive, compassionate service. The ideal candidate thrives in a fast-paced environment, is technologically savvy, organized, a great multitasker, and demonstrates professionalism when handling sensitive patient and clinician inquiries. Interest in future leadership or supervisory growth opportunities is strongly encouraged.

Key Responsibilities

  • Provide executive-level administrative support to leadership and department operations
  • Assist with reporting, scheduling, documentation, and operational projects as assigned
  • Assist with testing and implementing software rollouts as assigned
  • Serve as a primary point of contact for client service inquiries, ensuring timely resolution
  • Assist with new client onboarding and related administrative tasks
  • Accurately research, verify, and document patient and provider information using laboratory systems
  • Coordinate internal communications and support workflow within the administrative team
  • Maintain strict confidentiality in compliance with healthcare regulations
  • Support continuous improvement initiatives to enhance patient and provider experience
  • Assist with managing high call volumes from patients and healthcare providers with professionalism and care as needed

Qualifications

Required

  • Bachelor's degree
  • Strong computer proficiency and ability to learn new systems quickly
  • Typing speed of 50+ words per minute
  • Ability to manage high-volume calls with professionalism and composure
  • Strong written and verbal communication skills
  • Self-starter with excellent organizational skills

Preferred

  • 1+ year of medical terminology experience
  • Background in laboratory medicine, healthcare, or a degree in STEM/health-related discipline
