Medical Front Office - External Referral Coordinator

We are seeking a dedicated External Referral Coordinator to join our dynamic team. The Texas Liver Consultants (TLC) is a thriving specialty medical practice dedicated to delivering high-quality patient care to our patients.

In the role of the External Referral Coordinator, you will play a crucial part in ensuring seamless transition for patients who are referred to specialty services, enhancing their overall healthcare. The position requires that the ideal candidate be reliable, highly motivated, detailed-oriented and efficient with a strong work ethic. We are looking for someone with excellent phone etiquette, customer service skills, able to prioritize tasks and meet deadlines, strong interpersonal skills and able to work in a team environment in a fast-paced environment.

Under the directions of the Front Office Manager, the External Referral Coordinator performs a variety of front office and clerical duties in supports of patient care activities, ensuring efficient patient flow and continuous communication within TLC, referring physician offices, staff and patients. Candidate must be able to reliably commute to our downtown San Antonio office.

Job duties may include but are not limited to:

  • Maintains basic understanding of insurance authorization and/or referral requirements.
  • Navigating within the insurance and facility portals
  • Communicate effectively with patient, healthcare providers, and insurance companies to facilitate referrals
  • Managing a high call volume of incoming and outgoing phone calls related to authorization and referral while maintain professional phone etiquette
  • Ensures all necessary medical records and documentation are prepared and forwarded to the specialist for transmission.
  • Communicates important information regarding authorization and/or referral information to patient and/or specialist in a timely manner.
  • Documenting data into our electronic medical record system (EMR)
  • Creates authorization and referral requests as needed.
  • Coordinates with primary care offices and specialty office as needed.
  • Monitor the referral status, following up with the facility and patient to ensure scheduling
  • Cross-trained with all roles within the department.
  • Works efficiently with all departments to promote teamwork within the organization.
