We are seeking a Front Office Lead to manage the day-to-day operations of our main patient care floor. This role is ideal for a highly organized professional who thrives in a fast-paced environment and takes pride in keeping a medical office running efficiently.

This position is not simply a receptionist role. The Front Office Lead serves as the operational anchor of the main floor, ensuring patient flow, staff productivity, and provider schedules remain optimized throughout the day.

In a five-exam-room clinic environment, this role is critical to maintaining efficiency, patient satisfaction, and a full provider schedule.

Position Overview

The Front Office Lead serves as the primary coordinator of front-office and patient flow operations. This individual will work closely with the physician owner and the Office Supervisor to ensure that the clinic operates efficiently and that patient schedules remain full and well managed.

This role requires a professional who is proactive, organized, detail-oriented, and comfortable maintaining accountability among team members.

Key Responsibilities (include by not limited to):

Patient Experience

  • Greet patients and visitors professionally and create a welcoming environment
  • Serve as the primary point of contact for front-office patient interactions
  • Maintain a high level of customer service and professionalism at all times

Schedule Management

  • Actively manage the provider schedule to maintain optimal patient volume
  • Ensure follow-up appointments are scheduled appropriately
  • Monitor cancellations and no-shows and proactively fill open appointment slots
  • Confirm upcoming appointments to maintain schedule efficiency

Operational Oversight

  • Help maintain organization and workflow on the main patient care floor
  • Support patient flow between front desk, exam rooms, and provider
  • Ensure staff are utilizing time efficiently and assisting where needed

Administrative Duties

  • Accurately collect and verify patient demographic and insurance information
  • Maintain accurate patient records within the electronic medical record
  • Assist with clerical tasks including filing, data entry, and documentation
  • Support compliance with HIPAA and patient privacy regulations

Clinical Coordination

  • Assist the physician and medical staff with administrative and patient care support as needed
  • Support smooth coordination between clinical and front office operations

Clinic Hours

Monday – 7:15 AM – 5:30 PM
Tuesday – 7:15 AM – 5:30 PM
Wednesday – 7:15 AM – 5:30 PM
Thursday – 7:15 AM – 5:30 PM
Friday – 7:30 AM – 4:00 PM

This position partners with the Office Supervisor, who works on a separate floor within the building. One of the two leaders will always be present onsite.

Shifts will rotate between:

Early shift: 7:15 AM – 3:45 PM
Late shift: 9:00 AM – 5:30 PM

Qualifications

  • Previous experience in a medical office environment is required
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • High level of professionalism and attention to detail
  • Ability to manage competing priorities in a fast-paced environment
  • Experience with Athenahealth electronic health records preferred
  • Familiarity with ICD-10 coding and medical terminology beneficial
  • Strong computer and clerical skills including data entry and documentation
  • Attendance is key.
  • Reliability and Integrity is a must.
