Brief description

This position supports a busy medical-legal clinic by providing administrative, clerical, and visitor support. The assistant works closely with the Records Coordinator, appointment staff, and physicians to ensure accurate documentation, professional communication, and a positive experience for injured parties.

Primary Responsibilities

  • Obtain, analyze, and organize medical records for physician review.
  • Maintain ongoing communication with external record custodians and service requestors.
  • Answer and route calls professionally and accurately.
  • Greet, room examinees, and assist with appointments (vital signs, note taking, preparing forms, ensuring comfort and privacy).
  • Track and obtain medical records and imaging from external sources; organize and prepare case binders as records become available; support work flow to prevent bottlenecks. Cross-train to assist in other areas as needed.
  • Perform general office duties such as ordering supplies and maintaining the reception area.
  • Support the Records Coordinator and other staff as needed.

Qualifications and requirements

  • Experience in a medical office or healthcare setting required.
  • Strong organizational skills with excellent attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Working knowledge of medical terminology.
  • Proficiency in Office 365, Adobe Pro, and standard office equipment.
  • Ability to maintain strict confidentiality with medical records and sensitive information.
  • Preferred but not required:
  • Certified Nursing Assistant (CNA) or Medical Assistant (MA)

Experience

  • Customer service: 2 years (Preferred)
  • Medical office or healthcare experience: 2 years (Preferred)
  • Medical terminology: 2 years (Preferred)
  • Computer skills: 2 years (Preferred)

Job Type

  • Full-time, hourly
  • Monday–Friday, 8:00 AM – 4:00 PM

Compensation & Benefits

  • $18.00 – $21.00 per hour
  • Flexible scheduling after 90 days
