Brief description
This position supports a busy medical-legal clinic by providing administrative, clerical, and visitor support. The assistant works closely with the Records Coordinator, appointment staff, and physicians to ensure accurate documentation, professional communication, and a positive experience for injured parties.
Primary Responsibilities
- Obtain, analyze, and organize medical records for physician review.
- Maintain ongoing communication with external record custodians and service requestors.
- Answer and route calls professionally and accurately.
- Greet, room examinees, and assist with appointments (vital signs, note taking, preparing forms, ensuring comfort and privacy).
- Track and obtain medical records and imaging from external sources; organize and prepare case binders as records become available; support work flow to prevent bottlenecks. Cross-train to assist in other areas as needed.
- Perform general office duties such as ordering supplies and maintaining the reception area.
- Support the Records Coordinator and other staff as needed.
Qualifications and requirements
- Experience in a medical office or healthcare setting required.
- Strong organizational skills with excellent attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent written and verbal communication skills.
- Working knowledge of medical terminology.
- Proficiency in Office 365, Adobe Pro, and standard office equipment.
- Ability to maintain strict confidentiality with medical records and sensitive information.
- Preferred but not required:
- Certified Nursing Assistant (CNA) or Medical Assistant (MA)
Experience
- Customer service: 2 years (Preferred)
- Medical office or healthcare experience: 2 years (Preferred)
- Medical terminology: 2 years (Preferred)
- Computer skills: 2 years (Preferred)

Job Type

- Monday–Friday, 8:00 AM – 4:00 PM
Compensation & Benefits
- $18.00 – $21.00 per hour
