Job Summary: As the Medical Legal Services Coordinator, you will assist in the responsibilities for documentation, scheduling and interaction with clients, attorneys, and physicians in preparation for and during telephone conferences, office conferences, medical record review, expert witness testimony, narrative reports discovery depositions, video depositions, and trial appearances. The Medical Legal Services Coordinator completes substantive legal work that requires knowledge of legal concepts. Includes assisting physicians and attorneys in the commencement of action for new cases. This position will also be responsible for proofreading documents, maintaining client files, billing and new case intake, scheduling and maintaining calendars.

Essential Functions and Responsibilities:

  • Responsible for performing the procedures associated with processing and maintenance of cases in Legal Operations.
  • Conduct correspondence in response to requests for IMEs or Peer Reviews/Record Reviews to obtain intake information.
  • Receive and process medical records according to storage procedures.
  • Prepare and provide medical records for review by examining physicians according to required timeframes.
  • Correspond with clients to maintain positive relationships.
  • Review and deliver reports to clients in a timely manner.
  • Create and deliver invoices for physician services, according to fee schedule.
  • Monitor invoiced files. Collect, document, and distribute monies to physicians as appropriate.
  • Process invoiced files into permanent storage.
  • Conduct correspondence in response to requests for deposition and legal conferences of physicians.
  • Coordinate the scheduling of deposition dates with participating parties.
  • Create invoice documentation for depositions and deliver to requesting attorneys.
  • Monitor deposition schedule and conduct correspondence to ensure receipt of payments before deadlines.
  • Orchestrate the overall task associated with implementing each physician’s specific protocols.
  • Retrieve medical records from the system of record and prepare folders for deposition.
  • Performs other responsibilities as assigned.

Education:

  • High school diploma or GED required.

Work Experience:

  • 1-5 years’ experience in healthcare or a law firm.

Licensure, Registration and/or Certification: None.

Knowledge, Skills, and Abilities:

  • Bachelor’s degree
  • Must have a clear speaking voice with phone etiquette
  • Excellent attention to detail and strong written and oral communications skills
  • The candidate needs to be extremely detailed oriented, able to work in a fast-paced environment, be pro-active and work independently. Demonstrate professionalism, quality service and a "can do" attitude.
  • Knowledge of basic medical coding and terminology.
  • Knowledge of grammar, spelling, and punctuation.
  • Experience with computer, fax, calculator, and copier.
  • Familiar with Microsoft Office 365.
  • Ability to read, understand and follow oral and written instructions.
  • Ability to communicate professionally, clearly, and courteously with patients, co-workers, and others.
  • Ability to establish and maintain effective working relationships with physicians, staff, and the public.
  • Ability to sort and organize materials.
  • Ability to write legibly.

Supervisory Responsibilities: None

Working Conditions:

  • Work is performed in a medical office setting.
  • May be exposed to communicable diseases, toxic substances, ionizing radiation, medical preparations, biohazards, bodily fluids and other conditions common to a clinic setting.

  • Requires normal memory, taking into consideration the amount and type of information involved.
  • Average visual acuity necessary to prepare or review documents or operate equipment.
  • Ability to speak, frequently conveying detailed or important information or ideas accurately.
  • Ability to hear normal speech, both in person and on the telephone.
