Job Summary
We are seeking a dynamic and highly organized Medical Office Manager to lead the daily operations of our healthcare facility. This role is vital in ensuring seamless clinic management, exceptional patient care, and efficient administrative workflows. The ideal candidate will possess extensive medical office experience, strong leadership skills, and a comprehensive understanding of healthcare management systems. As the cornerstone of our practice, you will oversee staff supervision, financial management, compliance with healthcare regulations, and the implementation of best practices to elevate our clinic’s performance.
Responsibilities
- Oversee all aspects of medical office operations, including scheduling, patient flow, and administrative support to ensure a smooth patient experience.
- Manage fiscal responsibilities such as budgeting, billing, coding accuracy, and financial reporting using Mod Med.
- Supervise clinical and administrative staff, providing guidance on human resources policies, training, performance evaluations, and team development.
- Maintain compliance with HIPAA regulations and ensure the confidentiality and security of medical records and electronic health records (EHR) systems.
- Coordinate with healthcare providers to optimize practice management, including utilization management, managed care processes, and medical records documentation.
- Oversee clinic inventory management, procurement processes, and equipment maintenance to support efficient operations.
- Ensure adherence to accreditation standards such as JCAHO requirements and OSHA guidelines for safety and quality assurance in acute care or hospital settings.
- Implement process improvements for office management workflows while fostering a positive environment that promotes excellent patient care and staff satisfaction.
Qualifications
- Proven experience in medical office management or healthcare administration within a clinical setting.
- Strong knowledge of medical terminology, medical records management, and EMR systems. Mod Med experience is a plus!
- Demonstrated supervisory experience leading multidisciplinary teams in a healthcare environment.
- Expertise in fiscal management, including budgeting, financial analysis, and resource allocation.
- Familiarity with Podiatry office practice management is a plus but not required.
- Excellent organizational skills with the ability to multitask effectively in fast-paced settings such as clinics or hospitals.
- Knowledge of HIPAA regulations, managed care policies, JCAHO standards, and healthcare compliance protocols.
