Position Overview

We are seeking a compassionate, proactive, and growth-oriented Medical Office Manager with sales and marketing experience. This role partners closely with the physician to manage daily operations, drive patient growth, and lead a small team (administrative and clinical staff).

This is a hands-on leadership position in a nearly paperless, independent practice. Flexibility, initiative, and a willingness to “wear multiple hats” are essential.

Key Responsibilities

  • Own and manage the lead funnel for clinical services and wellness programs (e.g., Qi Gong and Pain Reprocessing classes)
  • Meet and exceed key performance indicators (KPIs) related to growth and patient acquisition. Generates leads, additional referring practitioners and engage public via social media.
  • Plan and execute marketing and advertising strategies, including social media management
  • Build and maintain relationships with referring providers, community organizations, and strategic partners
  • Represent the practice at networking events and within the local community
  • Oversee daily office operations to ensure efficient workflows and excellent patient experience
  • Manage patient scheduling, check-in/check-out processes, and overall patient flow
  • Lead and support a small team, fostering a positive and productive work environment
  • Develop, implement, and refine office policies and procedures
  • Identify operational gaps and implement practical, scalable solutions
  • Create a positive and productive work environment to attract and retain staff, patients and clients

Qualifications

Education:

  • Bachelor’s degree in healthcare administration, business, or related field (required)
  • Medical Assistant training or certification (preferred)

Experience:

  • 3–5 years in medical practice management or healthcare operations
  • Prior supervisory or team leadership experience preferred
  • Customer service experience (2+ years preferred)
  • Sales or marketing experience (1–3 years preferred)

  • Experience with EHR/EMR systems and office management software
