Medical Reception / Sales

Diamond Pain Relief & Wellness Center

Are you looking for an important support role in a small woman-owned business?

We’re looking for a 'unicorn’ who wears many hats and has a wide breadth of skills.

This is not a “sit and smile” reception job.
It’s a client-facing, sales-minded, think-for-yourself role inside a true Precise Private Practice®.

Our brick-and-mortar clinic, Diamond Pain Relief & Wellness Center, was founded in 1987 by industry pioneer Irene Diamond. We were one of San Francisco’s first wellness centers and offer manual and movement-based therapies. We don’t accept insurance ,but familiarity with the process is valuable to guide clients on reimbursement. The Precise Private Practice concept is the opposite of most other therapy clinics, spas, and businesses. For example, we accept clients into our practice only by referral or invitation.

We believe in therapy plans — not “come when it hurts.”
We educate and advise because it serves the client, best.

This role is for you if you can learn how our practice is different and share that as our brand’s signature in the world of therapy clinics.

What This Role Really Is

You are:

  • The first impression (in person, phone, email)
  • A consultative sales advisor (not an order taker)
  • The steady presence when the Director is out of the office
  • The person who keeps the clinic humming, orderly, and brilliant!

You must be comfortable explaining why a structured care plan matters. You should be able to pre-screen inquiries and assess fit. We don’t chase everyone. We curate Dream Clients.

You’ll also support our Director’s consulting and education businesses, coordinate with our online business manager, and assist with communication, proposals, and social content.

PR experience? Even better. If you’ve pitched experts to podcasts, media, or speaking engagements — tell us about it.

Core Responsibilities

  • Greet and guide clients warmly and professionally
  • Schedule and manage appointments efficiently
  • Explain our cash-based model (we provide superbills; we do not bill insurance)
  • Maintain accurate CRM and paper records
  • Support intake, documentation, and HIPAA compliance
  • Coordinate referrals and provider communication
  • Manage administrative and office tasks
  • Assist in daily light ‘housekeeping’ upkeep inside and in front of building/front door
  • Assist with writing, editing, proposals, newsletters, and social media posts
  • Research and pitch media and corporate wellness opportunities for the clinic and the Director
  • Help manage the Director’s coaching clients and online programs
  • Keep supplies stocked and the space organized

Bonus points for video or image editing skills (Canva fluency is great).

We’ll Train You, but it’s Best If You:

  • Have prior experience in a medical, chiropractic, PT, massage, or wellness office
  • Understand medical terminology and basic billing concepts
  • Are highly organized and tech-comfortable (must have Mac OS, Google Drive, Asana)
  • Have a strong phone presence and natural people skills
  • Think strategically and take ownership
  • Can sell ethically and confidently
  • Believe compliance with a care plan is in the client’s best interest

We operate on the second floor (walk-up) of a renovated 1980 Edwardian home with three therapy rooms, a reception area, a small exercise room, and a kitchen. The setting is warm and professional.
