Key Responsibilities and Duties
- Patient Interaction: Greet and check in patients and visitors in a professional and empathetic manner. They help patients fill out necessary medical forms and answer general inquiries about office policies and procedures.
- Appointment Management: Schedule, confirm, and reschedule patient appointments using specialized medical office software or EHR systems. They also coordinate with various medical departments and send out appointment reminders.
- Communication Hub: Answer multi-line phone systems, direct calls to the appropriate staff or departments, and take accurate messages for doctors and other medical professionals.
- Records Management: Maintain and update patient records, including personal information, medical history, and insurance details, ensuring all documentation is accurate and confidential (adhering to regulations like HIPAA).
- Billing and Insurance: Process patient billing, collect co-pays and payments, issue receipts, and verify insurance information to process claims efficiently.
- Administrative Support: Manage incoming and outgoing mail, faxes, and emails, and perform general clerical tasks such as filing, scanning, and photocopying.
- Office Environment: Maintain a clean, organized, and welcoming front desk and waiting area, and monitor office supplies, placing orders as needed.
