New Hope Family Practice, PC is seeking a highly organized, professional, and compassionate Medical Receptionist to join our team. The ideal candidate will be the first point of contact for our patients and visitors, ensuring a positive and efficient experience. This role is central to the smooth operation of our clinic, requiring excellent administrative and customer service skills.
Responsibilities
Patient and Communication Management
- Professionally answer and direct all incoming phone calls, managing multiple lines efficiently.
- Schedule, confirm, and reschedule patient appointments using our electronic health record (EHR) system (E-clinical Works).
- Greet patients and visitors warmly upon arrival, verify patient demographics, and process necessary forms.
- Manage patient flow and coordinate with clinical staff to minimize wait times.
Administrative and Clinical Support
- Process and track patient referrals to specialists, ensuring all required information is accurately transmitted.
- Manage prior authorizations for radiological studies, including MRIs and CT scans, liaising with insurance companies and imaging centers to secure timely approval.
- Handle all aspects of medical records management, including receiving requests for records, sending records to other providers, and ensuring compliance with HIPAA regulations.
- Maintain organized and accurate patient files on the EHR system..
Inter-Office Coordination and Follow-Up
- Serve as a primary liaison with other medical offices and facilities.
- Call external medical offices to expedite patient appointments, verify appointment status, and coordinate care.
- Track and follow up on outstanding appointments, test results, and referrals.
QualificationsRequired Skills and Experience
- Proven experience in a medical office setting is highly preferred.
- Excellent customer service and interpersonal skills with a professional and empathetic demeanor.
- Strong verbal and written communication skills.
- Proficiency with medical scheduling software and Electronic Health Records (EHR).
- Demonstrated ability to manage the prior authorization and referral process efficiently.
- Exceptional organizational skills and attention to detail.
- Ability to handle confidential patient information in compliance with HIPAA.
- Ability to multitask and remain calm and effective under pressure.
- Knowledge of medical insurances and verifications
Schedule and Compensation
- Full time status
- Typical working hours, Monday–Thursday, 8:00 AM – 5:00 PM; Friday 8:00 AM - Noon.
- Compensation Commensurate with experience, starting at $ 16 / hour
- Paid Time Off (PTO), Holiday pay and Simple IRA is offered
