Medical Receptionist

New Hope Family Practice, PC is seeking a highly organized, professional, and compassionate Medical Receptionist to join our team. The ideal candidate will be the first point of contact for our patients and visitors, ensuring a positive and efficient experience. This role is central to the smooth operation of our clinic, requiring excellent administrative and customer service skills.

Responsibilities

Patient and Communication Management

  • Professionally answer and direct all incoming phone calls, managing multiple lines efficiently.
  • Schedule, confirm, and reschedule patient appointments using our electronic health record (EHR) system (E-clinical Works).
  • Greet patients and visitors warmly upon arrival, verify patient demographics, and process necessary forms.
  • Manage patient flow and coordinate with clinical staff to minimize wait times.

Administrative and Clinical Support

  • Process and track patient referrals to specialists, ensuring all required information is accurately transmitted.
  • Manage prior authorizations for radiological studies, including MRIs and CT scans, liaising with insurance companies and imaging centers to secure timely approval.
  • Handle all aspects of medical records management, including receiving requests for records, sending records to other providers, and ensuring compliance with HIPAA regulations.
  • Maintain organized and accurate patient files on the EHR system..

Inter-Office Coordination and Follow-Up

  • Serve as a primary liaison with other medical offices and facilities.
  • Call external medical offices to expedite patient appointments, verify appointment status, and coordinate care.
  • Track and follow up on outstanding appointments, test results, and referrals.

QualificationsRequired Skills and Experience

  • Proven experience in a medical office setting is highly preferred.
  • Excellent customer service and interpersonal skills with a professional and empathetic demeanor.
  • Strong verbal and written communication skills.
  • Proficiency with medical scheduling software and Electronic Health Records (EHR).
  • Demonstrated ability to manage the prior authorization and referral process efficiently.
  • Exceptional organizational skills and attention to detail.
  • Ability to handle confidential patient information in compliance with HIPAA.
  • Ability to multitask and remain calm and effective under pressure.
  • Knowledge of medical insurances and verifications

Schedule and Compensation

  • Full time status
  • Typical working hours, Monday–Thursday, 8:00 AM – 5:00 PM; Friday 8:00 AM - Noon.
  • Compensation Commensurate with experience, starting at $ 16 / hour
  • Paid Time Off (PTO), Holiday pay and Simple IRA is offered

Job Type: Full-time

Pay: $16.00 - $20.00 per hour
