Job Title: Receptionist and Scheduling Assistant (Full time, 40 hours per week)

Job Description:

This role supports the reception and scheduling of patients at our ultrasound facility while coordinating communication with our administrative team. Responsibilities include answering phones, documenting calls, scheduling appointments, and sending follow-up communications to patients and referring clinics. Light facility cleaning and organization are also part of the role. The position aims to improve operational efficiency for our patients, external clinics, and hospital contracts. Work is performed in a climate-controlled, quiet office with ample space, typically without other co-workers.

Required Skills:

  • 1 year of Medical Office Experience
  • Answering multi-line phones professionally
  • Scheduling appointments accurately
  • Documenting calls and communications clearly
  • Basic computer literacy for email and scheduling software

Preferred Skills:

  • Medical terminology or related skills
  • Experience billing medical insurances for services performed
  • Experience with payment software like Stripe
  • Data collection and entry with Microsoft Excel
  • Experience with email and SMS automation tools
  • Familiarity with using large language models (LLMs) like ChatGPT
  • General administrative support experience
  • Medical/ insurance billing experience

Required Education:

  • High school diploma or equivalent

Preferred Education:

  • Associate’s degree in Healthcare, Communication, Business or related field

Working Environment:

  • Mostly in-person work at our facility is required. Some remote work available
  • Also Climate-controlled, quiet office with ample workspace available locally
  • Usually working independently without other co-workers present or assisting one of our sonographers in our office

Compensation:

Compensation for this position ranges from $11 to $14 per hour, depending on experience and demonstrated skills. We value your background and aim to offer a competitive rate that reflects your qualifications and the contributions you’ll bring to our team.

This position is governed by the Fair Labor Standards Act (FLSA) ensuring minimum wage and overtime protections. The Equal Pay Act prohibits wage discrimination based on sex. The Occupational Safety and Health Act (OSHA) requires a safe and healthful workplace.

Pay: $11.00 - $14.00 per hour

Experience:

  • Medical office: 1 year (Required)
  • Medical billing: 1 year (Preferred)
  • Insurance verification: 1 year (Preferred)
  • Medical scheduling: 1 year (Required)
