GENERAL JOB SUMMARY

The primary role of this position is to be responsible for ensuring a professional, warm, and friendly first point of contact for TMS Restoration Psychiatry. Responsible for answering and directing incoming phone calls, emails, and messages in a timely manner, giving our patients and those inquiring about our services the best care. Requires the ability to multitask various duties in an organized manner with little oversight. In addition, this position will require administering TMS treatments according to specific physician protocols. This portion of the job requires TMS training which is provided.

This position’s practice location is the Pulaski Health Center.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Answer and direct phone calls in a polite and friendly manner
  • Keep detailed and accurate records of visitor requests and of calls received and forward to the appropriate person
  • Check email messages on a regular basis and answer or direct them accordingly
  • Call patients the day before to remind them of their appointment
  • Collect co-pays when applicable.
  • Update patient demographics on a regular basis
  • Upload insurance cards and updated IDs to Office Ally
  • Verify Insurance
  • Monitor office supplies and place orders when necessary
  • Maintain the reception area and all common areas in a clean and tidy manner
  • Operate standard office equipment on a regular basis
  • Maintain general office filing system
  • Write correspondences to or for patients and vendors as directed
  • All other dutiesassigned that are not otherwise listed above

TMS Technician (Transcranial Magnetic Stimulation)

  • Administer TMS Treatments according to specific physician protocols
  • Operate TMS medical devices and ensure patient comfort during treatments
  • Administer psychiatric rating scales and direct patients on completion of scales
  • Record session notes using EMR and scan documents into patients' chart
  • Communicate with a team of certified TMS psychiatrists who oversee patient treatment at multiple locations.

QUALIFICATIONS, EDUCATION AND SKILL REQUIREMENTS

  • Minimum High School Diploma, additional education preferred but not required
  • Insurance knowledge is preferred but not required.
  • Ability to maintain a professional appearance and demeanor, and interface well with patients in a mental health setting
  • Excellent verbal and written communication skills and ability to work well with a team
  • Comfortable communicating and interfacing electronically with various platforms
  • A self-starter, possessing strong administrative skills and the ability to work independently without supervision.
  • Experience working effectively with people of diverse backgrounds.
  • Demonstrated aptitude for working in sensitive environments that require a high degree of confidentiality.
  • Flexible; able to adapt to change quickly.
  • Highly developed time management, organizational, and prioritization skills.
  • Strong conflict resolution skills with both internal and external contacts.
  • Present themselves with excellence regarding appearance and conduct, always projecting a professional image.

SUPERVISORY RESPONSIBILITIES

This position does not have supervisory responsibilities.

EQUIPMENT AND MACHINES USED

  • This position requires training and operating of TMS devices along with the regular use of a computer running Microsoft Office 365, in addition to other databases that may become available or required.

Job Type: Part-time

Pay: $19.00 - $21.00 per hour
