Scope of Job
Responsible for managing and coordinating incoming and outgoing patient referrals within UT Health RGV and to external community healthcare facilities and providers. To facilitate the seamless transfer of UT Health RGV patients to specialists within and outside of our healthcare providers, ensuring timely access to necessary medical services.
Description of Duties
- Responsible for managing and coordinating incoming and outgoing patient referrals within UT Health RGV and within external community healthcare facilities and providers.
- Collaborates with healthcare providers to assess patients’ healthcare needs and determines proper referrals to providers ensuring timely access to necessary medical services.
- Consults with physicians and patients to make informed referral decisions.
- Schedules specialist appointments, diagnostic tests, and procedures for patients.
- Maintains accurate and detailed records of patient referrals, including referral forms and documentation of communication.
- Coordinates appointment times, locations, and any necessary pre-visit requirements.
- Addresses patient questions and concerns related to referrals.
- Monitors and tracks the status of patient referrals, ensuring that appointments are kept and results are received.
- Analyzes and generates reports on referral activity, including tracking referral outcomes and referral volume.
- Verifies patient insurance coverage and confirms any required authorizations have been obtained for specialist visits and diagnostic tests.
- May coordinate with corresponding providers to process prescription refill requests as needed.
- Performs other duties as assigned.

General supervision from assigned supervisor.

Direct supervision of assigned staff.
Required Education
High school diploma or GED.
Licenses/Certifications
Preferred: Medical Assistant certification
Required Experience
Two (2) years of related experience performing duties stated above or medical assistant experience in a medical office or healthcare setting.
Preferred Experience
Certified medical assistant experience with electronic health record (EHR) systems, and medical software. Knowledge of navigating payer portals.
Equipment
Use of standard office equipment and payer portal such as Epic.
Working Conditions
Needs to be able to successfully perform all required duties. Work is performed primarily in a general office environment. Some travel and weekend work is required. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.
Other
Exceptional planning and organizational skills. Requires a strong understanding of payer requirements, referral workflows, and payer system functionality, along with working knowledge of medical terminology, specialty services, and patient coordination. Attention to detail, critical thinking, and the ability to manage high-volume workflows while ensuring timely, accurate processing of referrals.
