Position Title: Medical Support Transcription Specialist

Job Summary: The Medical Support Transcription Specialist provides accurate medical transcription and comprehensive administrative and operational support to clinical and medical teams. This role is responsible for transcribing and editing provider dictation, ensuring documentation accuracy and compliance, and entering medical records into the electronic health record (EHR) system. In addition to transcription duties, the position supports medical operations by assisting with scheduling, client outreach, front-desk coverage, quality improvement reporting, and coordination with nursing, prescribers, and compliance teams. The Medical Support Transcription Specialist acts as a client advocate, supports access to care, and delivers a high level of customer service while upholding confidentiality, regulatory standards, and Diversus Health’s mission and values.
Key Responsibilities

Listen to and interpret recorded dictation from physicians and other healthcare providers.

Transcribe dictation accurately using approved templates for inpatient and outpatient initial exams, progress notes, discharge summaries, and other medical documents.

Translate medical abbreviations and terminology into their appropriate long forms.

Identify inconsistencies, errors, or missing information in reports that could impact patient care.

Follow up with healthcare providers to verify and clarify report accuracy as needed.

Enter finalized medical reports into electronic health records (EHR) systems and submit records for physician approval.

Perform quality improvement audits to ensure documentation accuracy and compliance with regulatory standards.

Use word-processing, specialized software, and medical reference materials as needed to complete transcription and documentation tasks.

Support the Medical Support team by answering phones, scheduling clients within provider schedules, connecting clients to nursing or crisis services as appropriate, and routing messages to the correct recipients.

Conduct outreach to clients to support access to providers and backfill scheduling gaps.

Serve as a patient/client advocate, ensuring each individual receives high-quality operational support and customer service.

Provide backup support for Medical Support Specialists and prescriber teams as needed.

Represent Diversus Health professionally and ethically during community events and meetings, promoting the organization’s mission and values.

Follow patient confidentiality guidelines, legal documentation requirements, and company policies to maintain compliance and high standards.

Qualifications & Skills
Education & Experience

High School Diploma, GED Certification or equivalent experience

RHDS or CHDS certification preferred

2+ years’ experience in medical transcription, a plus

Customer Service Experience preferred

Computer skills: Must be comfortable using computers and word-processing software, as well as how to operate in electronic health records (EHR) systems.

Critical-thinking skills: Must be able to assess medical reports and spot any inaccuracies and inconsistencies in finished drafts. Also must be able to think critically when doing research to find the information needed and to ensure that sources are both accurate and reliable.

Listening skills. Ability to listen carefully to dictation from physicians. Must be able to hear and interpret the intended meaning of the medical report.

Time-management skills. Because dictation must be done quickly, must be comfortable working under short deadlines.

Writing skills. A good understanding of the English language and grammar are necessary.

Work Environment & Physical Requirements
Work Environment

Work performed primarily in office and clinic settings, with occasional support across multiple Diversus Health locations as needed.

Typical environment includes standard office conditions, with exposure to noise from phones, office equipment, and clinic activity.

Minimal exposure to cleaning materials, office supplies, or other routine operational materials, following all safety guidelines.

Flexible schedule may include occasional early/late shifts, weekends, or on-call support to meet operational needs
Mobility Clause: This position requires flexibility to work at various Diversus Health locations based on operational and business needs. While a primary work site will be designated, employees may be reassigned temporarily or permanently to alternate sites to ensure adequate coverage, respond to facility needs, or support organizational initiatives. Reasonable notice will be provided whenever possible.
